Job Summary Green College is a graduate student and postdoctoral scholar residence and interdisciplinary academic programming space on UBC’s Vancouver campus that promotes cross‑disciplinary dialogue, creativity and belonging. Approximately 100 graduate students and postdoctoral scholars reside at Green College year‑round, and at any given time they may be joined by numerous visiting academics, writers and artists. The College offers free public programming and space for conferences and events in its beautiful heritage buildings. The purpose of the Manager of Finance and Administration role is to ensure that Green College operations are well‑managed, financially prudent, and meet the strategic vision and mandate of being a graduate, research‑focused, interdisciplinary residence and guest house that offers interdisciplinary academic programming to the broader university community. The Manager of Finance and Administration manages the administration of Green College including financial, physical and human resources. The incumbent is responsible for interpreting and following university policies to ensure compliance with the use of financial funds and collective agreements. This position maintains relationships with other University partners (particularly Student Housing and Conference Services) and the Green College Dining Society, coordinates emergency planning and response for the college, and supports the operational aspects of organizational improvement. At all times, the Manager of Finance and Administration upholds and seeks to achieve Green College’s mission, vision and values and models an inclusive, relationship‑centered, community‑building, critical‑thinking perspective. Responsibilities Manages general administrative and financial operations of the college, including facilities, human resources, financial planning and management, and operational budgets. Develops and implements comprehensive college policies within the administrative, human resources and financial portfolios and ensures compliance with university and college policies and procedures. Works with the principal and partners elsewhere in the university to ensure the necessary resources are in place to support the ongoing functions of the college. Designs and manages an internal accounting system to track revenue and expenditures for the college’s operations and programming. Develops operating and program budgets in collaboration with the Principal and Assistant Principal, Programs; leads revenue and expenditure forecasts and planning. Participates in long‑range financial planning and manages the unit budget; authorizes departmental acquisitions and expenditures against operational and program budgets. Manages year‑end procedures and account reconciliations, assesses financial operations, and makes recommendations to improve efficiencies. Ensures all event and accommodation revenue due to the college is received and credited appropriately and in a timely manner; investigates and resolves discrepancies or errors escalated by the Finance and Administrative Coordinator. Advises the Principal and Assistant Principal, Programs, on appropriate short‑ and long‑range hiring commitments, succession planning, performance measurements, salary increases and retention cases. Manages staff meetings and events; develops internal communication strategies and policy to ensure rapid and accurate flow of information among staff. Manages leave records for college staff, investigates patterns of sick leave usage, and advises on leave and attendance management. Maintains relationships with outside contractors and university partners, including the Green College Dining Society and Student Housing and Conference Services, regarding major facilities improvements and maintenance projects. Recruits, selects and evaluates service providers and vendors related to administration, human resources and finance. Develops, coordinates and manages emergency preparedness, planning and response in accordance with provincial and municipal legislation and operational requirements. Attends meetings of the Green College Advisory Board and represents the college’s interests on university committees and the Dining Society Board. Chairs the Local Safety Team and ensures safety and legislation requirements and standards are met, including compliance with privacy, security and legal standards. Participates in educational activities and programs as required. Performs other related duties as required in keeping with the qualifications and requirements of the job. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience. Willingness to respect diverse perspectives, including perspectives in conflict with one’s own. Preferred Qualifications Experience in accounting, administrative management and human resource management. Computer proficiency to an intermediate level with spreadsheet and database software; intermediate word processing, email, and presentation software. Ability to learn and administer proprietary software programs. Awareness of University of British Columbia policies and procedures, particularly those relating to financial and human resources. Demonstrated oral and written communication, interpersonal, customer service, problem‑resolution and organizational skills. Ability to work under pressure to meet deadlines and to effectively multi‑task. Ability to exercise patience, tact and discretion. Ability to work effectively with diverse communities and promote inclusion.
