About the Role The Executive Assistant will play a critical role in enabling the CEO to operate at the highest level of efficiency and effectiveness. This position is ideal for someone who thrives in a fast‑paced, entrepreneurial environment, is naturally solutions‑oriented, and brings exceptional professionalism to every interaction. You will manage day‑to‑day priorities, streamline workflows, strengthen internal coordination, assist with presentations, deliverables and projects while assisting our CEO so she stays focused on strategic initiatives, clients, and business growth. This role is based out of our Kelowna, B.C. office and we are aiming to fill this position within 1‑2 months. Key Responsibilities: Executive Support Manage complex calendars, scheduling, and prioritization of meetings, travel, and commitments. Support with the review and build out of Customer Information Memorandums, client proposals and Client presentations. Anticipate needs and proactively prepare meeting materials, briefings, agendas, and follow‑ups. Coordinate travel logistics and itineraries for business trips and client meetings. Handle confidential information with the highest degree of integrity and discretion. Operational & Administrative Support Support coordination of internal meetings, strategic planning sessions, and company events. Assist with preparation of presentations, reports, proposals, and project tracking. Ensure smooth daily operations by supporting contracts, renewals, vendors, expenses, and office logistics. Project & Business Support Collaborate with team members to drive key initiatives, timelines, and deliverables. Research information, compile data, and produce summaries or insights for CEO decision‑making. Provide support on special projects across business development, marketing, HR, and operations. Stakeholder & Client Coordination Serve as a professional, polished first point of contact for clients, partners, and internal teams. Maintain strong relationships with stakeholders while representing RWT Capital’s high service standards. What you offer: Qualifications and Requirements: 4-6 years of experience supporting a senior executive, ideally in finance, consulting, legal, or a fast‑paced professional environment. Strong organizational and time‑management skills with the ability to handle multiple priorities. Exceptional communication skills; written, verbal, and interpersonal. High level of professionalism, discretion, and emotional intelligence. Advanced proficiency in Microsoft Office Suite, Google Workspace, HubSpot and project management tools. Detail‑oriented, solution‑focused, and comfortable making decisions independently. Ability to anticipate needs, think strategically, and manage up effectively.
