Our client is recruiting for a Wills and Estates Administration Legal Assistant/Law Clerk to join their team. The ideal candidate for this position is professional, excellent communicator, detail oriented with solid technical skills. This is an immediate vacancy working with a great firm that offers a challenging and positive work environment. This law firm is located in Toronto, ON.


Summary of Responsibilities:


  • Performing conflict searches on PCLaw and alerting lawyers of any potential conflict of interest.
  • Opening and closing files both electronic and hard paper files.
  • Assisting with the in-take of new clients by scheduling initial meetings, preparing and sending preliminary packages in advance of first meeting.
  • Preparing correspondence and legal documents according to precedents and/or instructions including drafting letters, emails, wills, powers of attorney, and trusts, and performing complex editing, organizing, and formatting of legal documents, reports, applications, pleadings an court forms.
  • Preparation of all types of probate applications, including liaising with clients to collect information required for the application form and staying up to date on any changes to court forms and processes.
  • Preparation and review of estate and other fiduciary accounts, assisting with all steps of application to pass accounts.
  • Attending will and power of attorney signing meetings as a witness, preparing documents for signing in advance of meetings.
  • General administrative support including supporting lawyers in managing their schedule, organizing and maintaining files, photocopying, scanning and preparing documents for distribution, mailing, binding, and filing as required.
  • Scheduling meetings, hearings and conference/virtual calls with clients, courts, tribunals and other legal agents.
  • Arranging for the serving and filing of legal documents with courts, tribunals and opposing counsel.
  • Sending out the lawyers’ accounts to clients and following up on A/R for the lawyer, assisting in collections of unpaid accounts.


Core Skills & Requirements:


  • Minimum three years’ experience in a wills and estates clerk or legal assistant role
  • Successful completion of a post-secondary education in law clerk or legal assistant program is an asset
  • Excellent written and verbal communication skills
  • Organized and meticulous with follow-up and detail
  • Ability to work independently and take initiative, prioritize and multitask
  • Capable of working under pressure and meeting deadlines with minimal supervision
  • Flexible, team player who is client service oriented
  • Strong technical skills using MS Office, NitroPro, CaseLines, and PCLaw
