About the role
Working with the Executive Director and our team, you will keep information accurate, deadlines visible, and clients connected to the right support. Data entry, file maintenance, and administrative follow-through are central to this position. You will also help coordinate and set up workshops and events, engage with clients and community partners, and support community development activities. You understand how an accurate client record, a complete loan file, or a well-prepared event contributes to the bigger picture. You notice what needs attention, ask thoughtful questions, and follow through. What you will do
- Keep records accurate and work moving. Enter and update client information, maintain client management systems, track deadlines and follow-ups, proofread documents, and help prepare regular reports.
- Support loan administration. Maintain loan records and documentation, request client updates and financial statements, track required information, and help prepare payment notices and amortization schedules.
- Welcome and assist clients. Respond to phone, email, and in-person inquiries with warmth and professionalism, and connect people with appropriate services.
- Coordinate meetings and workshops. Prepare packages and materials, record minutes, track action items, and help with online sessions and room setup.
- Help coordinate events and community activities. Coordinate registrations and logistics, welcome participants, engage with clients and partners, and follow up on details afterward.
- Support communications. Help create newsletters, email updates, social media posts, and event promotions using tools such as Canva and event registration platforms. What will help you succeed
- You enjoy detailed work. You are comfortable spending focused time on data entry, documentation, and checking information for accuracy.
- You are organized and think ahead. You keep track of competing priorities, anticipate what others will need, and flag missing information before it creates delays.
- You see the bigger picture. You understand why the work matters and can adjust priorities while keeping essential details in hand.
- You connect well with people. You can move from focused desk work to welcoming a client or helping at an event with confidence and care.
- You take ownership. You work independently, follow tasks through to completion, and know when to ask for guidance.
- You use sound judgment. You handle confidential client and financial information with discretion and communicate clearly with colleagues and clients. Experience and skills
- Experience providing administrative support, maintaining records, and working with clients or the public.
- Strong written communication, proofreading, and practical time management skills.
- Proficiency with Microsoft Word, Excel, Outlook, and online meeting tools; confidence learning client databases and other software.
- Experience with loan administration, financial records, event coordination, Canva, social media, or email newsletters would be an asset.
- Relevant education in office administration, business, or marketing, or an equivalent combination of practical experience and training. Why this work matters Your work will help entrepreneurs access support and allow our team to deliver services reliably. This role offers a mix of focused administrative work, client contact, and involvement in events and community development.
