This role requires a highly organized, results-driven individual with exceptional interpersonal skills, strong attention to detail, and the ability to effectively prioritize a diverse workload in a fast-paced environment. The Property Coordinator supports the team by ensuring clear communication, streamlined processes, and a well-managed office environment. A central focus of the role is to uphold and deliver a courteous, professional, and positive client experience at all times. RESPONSIBILITIES Given the pivotal role this individual will be expected to play in achieving the strategic objectives of the company and in supporting the success of the organization, it is essential that the successful candidate possess the following core competencies, experience, and attributes: Office & Administrative Coordination Maintain a well-organized and efficient office environment supporting the Kemway Group Team. Coordinate daily workflow, ensuring communication flows smoothly between office staff, field operations, and clients. Prioritize a diverse workload with accuracy and attention to detail in a fast-paced environment. Prepare, organize, and track documentation, correspondence, and internal communications to support operational efficiency. Uphold Kemway's core values by demonstrating professionalism, integrity, and a positive client-focused approach in all interactions. Client & Stakeholder Support Deliver a courteous, responsive, and professional experience to all clients and visitors, acting as a primary point of contact for inquiries. Support tenant and client communications through timely follow-up, issue tracking, and coordination with the operations team. Maintain a proactive, solution-oriented mindset that ensures clients feel supported and well served. Operational & Financial Coordination Assist with accounts payable and accounts receivable processes, ensuring accurate coding, documentation, and timely processing. Coordinate with the finance team on expense tracking, invoicing, and supporting documentation as required. Support field operations by scheduling, tracking work orders, and maintaining accurate service records. Executive Support Provide direct administrative support to the CEO, including scheduling, meeting coordination, and preparation of materials. Anticipate information needs and ensure executives are informed through organized summaries, updates, and timely communication. Internal Collaboration Work closely with the cross-functional teams to ensure seamless coordination across the business. Support an inclusive and collaborative work environment by building positive relationships with employees at all levels. Actively contribute to a culture of teamwork, professionalism, and continuous improvement. Successfully manage AP/AR, scheduling, and documentation with accuracy and timeliness, providing organized executive support and implementing systems that streamline workflow and reduce administrative gaps. THE INDIVIDUAL Given the pivotal role this individual will be expected to play in achieving the strategic objectives of the company and in supporting the success of the organization, it is essential that the successful candidate possess the following core competencies, experience, and attributes: Education A diploma or degree in Business Administration, Real Estate, Property Management, Construction Management, or a related field is preferred; however, equivalent experience will also be considered. Property Management license is required. Experience Administration Diploma or equivalent experience. 5+ years experience in an office setting. Experience in the construction industry is an asset. Competencies and Knowledge Demonstrated strong organizational and time management skills while prioritizing different areas of work. Detailed work aptitude. Excellent interpersonal, written and oral communication skills Ability to utilize all office technology, programs and software, including an advanced knowledge of Word, Excel, PowerPoint, and Microsoft Products. High level of technological aptitude. High standard of ethics and good judgement. Show initiative and be proactive. Supporter and promoter of a cohesive team, staff and company.
