Job Purpose
The Executive Assistant role provides comprehensive administrative and operational support to a medical professional while assisting with clinic operations during patient-facing days on days where assistance is needed. This position is well suited to a highly organized, reliable individual with strong administrative skills who is comfortable learning a unique workflow in a healthcare-adjacent environment.
This role does not require a medical or Medical Office Assistant (MOA) background. All clinic-specific tasks will be taught. We are seeking a capable executive or administrative assistant who is eager to grow into increased responsibility over time.
The position will begin part-time and will increase to up to 30 hours per week as training is completed and responsibilities expand.
Key ResponsibilitiesExecutive & Administrative Support
- Provide direct administrative support to the medical professional
- Manage phone calls, emails, and in-person inquiries professionally and efficiently
- Coordinate schedules, appointments, and administrative tasks
- Support clinic organization, workflow efficiency, and administrative projects
- Perform both remote and in-person administrative work as required
- Assist with special projects and additional responsibilities as assigned
Clinic Overview
Our Immigration Medical Clinic is a specialized healthcare facility providing medical examinations required for immigration and visa applications. Our work differs from that of a traditional medical clinic and follows specific IRCC (Immigration, Refugees and Citizenship Canada) processes and guidelines. Full training is provided, and prior medical or clinic experience is not required.
Clinic & Patient Support (Training Provided)
- Greet patients and coordinate clinic flow, including check-ins and room preparation
- Prepare files and documentation in advance of clinic days
- Manage appointment scheduling and recall systems
- Maintain electronic records accurately and confidentially
- Support patient preparation and basic clinic processes according to provided training
- Ensure patient privacy and confidentiality at all times
Note: Our clinic processes differ from those of a typical medical office. Prior medical or MOA experience is not required, and full training will be provided.

Qualifications
- High school diploma or equivalent required
- Previous experience as an executive assistant, administrative assistant, office coordinator, or similar role preferred
- No medical or MOA background required
- Willingness and ability to learn clinic-specific systems and workflows
- Valid driver's license and ability to drive to the immigration medical clinic as needed

- Part-time to start, in-person / hybrid as required
- Hours will increase gradually to up to 30 hours per week as responsibilities grow
Compensation
- $19–$21 per hour, commensurate with experience
Job Types: Full-time, Part-time, Casual
Pay: $19.00-$21.00 per hour
