Back-Office Support / Administrative Assistant – Travel Agency (Hybrid/Remote)

Monday–Friday, 9:00 AM – 5:00 PM

About the Role

We are seeking a detail-oriented
Back-Office Support / Administrative Assistant
to join a growing travel agency. This role plays a critical part in supporting day-to-day operations, financial reconciliation, and back-office system administration. You will work closely with travel advisors and administrative teams to ensure accurate reporting, smooth workflows, and strong financial controls across the agency.

This is an excellent opportunity for someone with strong administrative and operational experience ideally within a travel agency who thrives in a structured, organized environment.

Key Responsibilities

BSP & ARC Settlement Management

  • Perform weekly and monthly reconciliation of IATA BSP reports against internal GDS sales
  • Audit and resolve Agency Debit Memos (ADMs) and Credit Memos (ACMs) to minimize financial discrepancies
  • Manage Net Remit and Published Fare accounting to ensure proper margin capture

Back-Office System Administration (TRAMS/TRES)

  • Oversee daily GDS interface (Sabre) to ensure accurate PNR data flow into TRAMS
  • Maintain the General Ledger, Chart of Accounts, and profile records
  • Troubleshoot interface logs and resolve missing segments or fare construction issues

Commission & Revenue Tracking

  • Track and follow up on outstanding commissions from hotels, car rentals, cruise lines, and tour operators
  • Manage Expected vs. Actual commission reports to identify revenue leakage
  • Process agent commission splits and payroll reporting for independent contractors

What We're Looking For

  • Experience in an administrative, operations, or back-office support role (travel agency experience strongly preferred)
  • TRAMS and reporting experience required
  • Fluent in English and French (spoken and written)
  • Strong organizational and multitasking skills with exceptional attention to detail
  • Tech-savvy and comfortable with Teams, Outlook, SharePoint, and collaborative tools
  • Professional, discreet, and service-oriented
