Role Overview 



The primary function of the Office and facilities Coordinator is to oversee the daily operations, maintenance, and upkeep of the head office, overseeing a range of administrative and executive support tasks. This role is responsible for assisting with office system maintenance, repair coordination, vendor relations, space allocation, and ensuring efficient workflows across all areas of the office environment.. 



Role Objectives  



The Office and Facilities Coordinator responsibilities include, but are not limited to:  



Administrative & Financial Support: 



Track, maintain, and order office supplies, kitchen essentials, and IT equipment, including onboarding needs for new hires and special team events. Monitor office budgets, expenses, and invoices, approving purchases and reconciling payments in coordination with finance and leadership teams. Review suppliers regularly to ensure quality, reliability, and cost-effectiveness; negotiate contracts, pricing, and terms to maximize value. Ensure daily operations run smoothly by addressing office needs promptly and maintaining accurate records of office and IT assets, including assignment, usage, and return. 

Office & Facility Management:



Oversee office logistics, including seating plans, relocations, departmental changes, and coordination of maintenance requests with Facilities. Manage common areas, kitchens, and staff spaces to ensure a clean, organized, and welcoming environment. Act as the primary contact for vendors, service providers, and suppliers while coordinating office events, meetings, and off-site functions, including catering and equipment setup. Schedule routine maintenance, troubleshooting issues, and coordinating repairs for equipment, fixtures, and building systems.

Plan and coordinate internal events, team-building activities, wellness campaigns, and seasonal celebrations. Celebrate employee milestones, including birthdays, work anniversaries, and achievements. Promote initiatives that foster workplace culture, engagement, and wellness. 

Role Qualifications  



2–3 years of office management or administrative leadership experience (healthcare facility operations experience considered an asset). Proficiency with MS Office Suite (Word, Excel, Outlook). Experience liaising with vendors, contractors, technicians, and service providers is an asset. Ability to manage multiple projects simultaneously and coordinate with various stakeholders. Strong organizational and time-management skills with the ability to prioritize multiple tasks. Excellent verbal and written communication skills. Post-secondary education in Facilities Management, Business Administration, Office Administration, or a related field (preferred).
