We are seeking an experienced and detail-oriented part-time Payroll Contractor to help design, manage, and optimize our payroll operations across the U.S. and Canada. This role will serve as the company's subject matter expert on payroll compliance, systems, and process improvements, ensuring that all payroll activities are accurate, timely, and compliant with applicable regulations.

This is a contract role requiring approximately 15–20 hours per week for the next 3–4 months, with an expected transition to 5–10 hours per week thereafter to support ongoing payroll operations and continuous improvements.

These are the key ways you'll contribute and create impact in this role:

  • Process payroll in Rippling for hourly and salaried employees in the U.S. and Canada, managing biweekly and semi-monthly pay schedules.

  • Serve as the primary subject matter expert on ROEs, 401(k) audits, and employment legislation in Ontario and across Texas, California, and Colorado.

  • Collaborate with the People team to gather and validate payroll inputs, while rebuilding and streamlining current payroll input worksheets for efficiency and accuracy.

  • Oversee and execute year-end filings and compliance processes (W2, T4, T4A,1099), ensuring accuracy and timely submission.

  • Build and manage the company's payroll function, including developing processes, internal controls, and reporting standards to support accuracy and compliance.

  • Identify and resolve payroll discrepancies while maintaining alignment between payroll, Rippling (the HRIS), and NetSuite (the accounting system).

  • Rebuild and maintain reconciliations between Rippling and third-party systems for benefits deductions, 401(k), and RRSP contributions, ensuring data integrity and consistency.

  • Conduct a comprehensive audit of the current Rippling payroll setup, verifying that pay codes, benefits deductions, and configurations are properly structured and functioning.

The Foundation for Success - These are the experiences and strengths that will set you up for success in this role:

  • Bachelor's degree in a related field, relevant industry experience, or professional payroll designation.

  • 6+ years of progressive payroll experience, including cross-border payroll (U.S. and Canada), is required.

  • Hands-on experience with Rippling (preferred) or similar HRIS/payroll platforms.

  • Demonstrated success in building or optimizing payroll processes and controls in a multi-jurisdictional environment.

  • Strong analytical skills and high attention to detail, with the ability to handle confidential information with discretion.

  • Excellent communication and collaboration skills, with the ability to partner effectively with cross-functional teams at all levels of the organization.
