Opportunity

MacEwan University is seeking a Supervisor, Conference and Event Services (CAES) for a 16-month replacement term opportunity with our Conference and Event Services department. Reporting to the Manager, you will coordinate the effective day-to-day operations of Conference and Event Services and supervise, lead and support a team of conference and event planning staff. You will also manage high level, high profile and complex events at the university including President's Office events, 50th anniversary, and premier press conference.

Key responsibilities include:

  • Interpreting client and event requirements and identifying MacEwan space, services and technical requirements required to complete the event and documenting the event contract from beginning to end;
  • Making recommendations on event budget to client area and ensuring events are planned within approved budget;
  • Preparing comprehensive and competitive proposals and bids, negotiates, secures and manages client contracts;
  • Developing and coordinating critical path and event plans;
  • Communicating event requirements to all service providers to ensure successful execution of events and resolving any issues that may arise and providing on-site support;
  • Acting as the liaison between CAES, service providers, and the client and other stakeholders;
  • Supervising, directing and guiding the event planning team through monitoring workload and performance and conducting regular Workforce Engagement (WE) conversations;
  • Assisting with hiring and training of new staff and escalating any issues to the Manager that might impact the terms and conditions of employment of MSU staff;
  • Coordinating communication between staff and senior leadership to ensure staff are informed of changes and new processes;
  • Identifying opportunities for process improvements and making recommendations for change and implementation;
  • Supporting faculties and departments with community engagement and partnership proposals or activities being proposed for or held in the university's non-academic spaces;
  • Researching, developing and obtaining prospective clients, businesses, events and performances for MacEwan;
  • Assisting the Manager in recruiting clients by developing an awareness of proposed events, performances, recitals and concerts in the community and marketing MacEwan space and services to potential clients;
  • Ensuring that accurate records are maintained and compiled for reporting, planning and evaluation purposes; and
  • Assisting the Manager with budget projects and strategic planning.

  • Proficiency in using Microsoft Office Suite.
QUALIFICATIONS
  • A minimum of a diploma in hospitality management, event management, or a related field.
  • A minimum of 5 years of experience, being progressively responsible for conference and event planning services.
  • A minimum of 3 years of supervisory experience.
  • Experience working as part of a team in a diverse and fast paced dynamic environment.
  • Experience working in conference and event planning in a university or large public organization would be considered an asset.
  • Project management training or experience would be considered an asset.
  • Experience with planning and budgeting and effectively managing and maximizing financial and human resources would be considered an asset.
  • An equivalent combination of education and experience may be considered.
