Job Overview

In Good Nutrition is a dietetic private practice serving clients across Canada. We are known for providing high-quality, client-centred nutrition care. Behind every great dietitian is a strong client care team. That's where you come in.

As our Client Care Coordinator, you'll be the engine of our practice, keeping operations running smoothly, connecting clients with the right dietitian, and supporting the team so they can deliver their best work.

RESPONSIBILITIES

  • Client intake and discovery calls: respond to inquiries, complete discovery calls, and match clients to the right dietitian
  • General clinic admin: support the team with day-to-day tasks as needed
  • Phone and inbox triage: answer calls, manage the shared inbox, and keep follow-ups moving
  • Scheduling and calendar management: book appointments, handle reschedules and cancellations within policy, and protect clinician time
  • EMR documentation: enter and update client info accurately, keep records organized and consistent
  • Billing and payments: process payments and support direct billing workflows with attention to detail
  • Reporting and metrics: produce monthly reports and track weekly metrics

REQUIREMENTS

  • 1+ year of clinic or healthcare admin/reception experience (medical, dental, physio, chiro, mental health, or similar)
  • Direct billing experience (submitting claims, troubleshooting, and follow-up)
  • Client service mindset – You lead with empathy and make people feel cared for while keeping policies clear
  • Ability to learn nutrition terms and health conditions to confidently connect clients with the right dietitian
  • Strong written communication: concise, professional, accurate
  • Comfortable learning clinic systems (Google Workspace + EMR)
  • Bonus: Canva and Jane experience

You're a Fit If You Are

  • Self-directed and reliable (you spot what needs doing and follow through)
  • Organized and fast at context switching
  • Organized – you manage time and priorities effectively
  • Calm under pressure and solution-focused (clinic work moves quickly)
  • Tech-forward and appropriately AI-literate (use it for efficiency, not for anything that risks privacy or accuracy)

Cover Letter: Please answer the following questions in your cover letter:

  • Any billing experience (direct billing, payment processing, reconciliation)
