The Executive Assistant reports directly to the President & CEO and will be responsible for assisting with administrative and organizational needs and act as the gatekeeper to the President and CEO's calendar and correspondence as it relates to the operation of a growing construction business   As an Executive Assistant at Ashton Construction Services Inc. you will be responsible for:
  • Overseeing all incoming and outgoing communications for the President & CEO, including emails, phone calls, reports, and internal correspondence.
  • Word processing as required for meeting minutes, contracts, proposals, etc.   
  • Filing important documents, such as reports, meeting notes, emails, and letters.
  • Keeping the President & CEO's calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings.
  • Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers.
  • Conducting research and creating reports on various topics based on needs.
  • Assist management and colleagues with overflow work, errands, and tasks as assigned.
  • Planning and organizing events that take place externally.
  • Keeping important information and documents organized.
  • Maintaining a high degree of discretion and confidentiality.
  • Assist with other duties as assigned.
  To be Successful at Ashton Construction Services Inc., you will have the following qualifications and experience:
  • 2+ years experience in an assistant or administrative role working in a busy, fast paced office environment.
  • Previous experience as an Executive Assistant is an asset.
  • Post-secondary education in either business or administration is an asset.
  • Keen attention to detail and accuracy.
  • Ability to complete a high volume of work within deadlines.
  • Ability to conduct research and create reports or presentations.
  • Ability to learn quickly.
  • Ability to handle sensitive information with discretion.
  • Ability to work independently and as part of a team.
  • Excellent communication, problem solving, organizational and interpersonal skills.
  • Proficient in a Windows environment and MS 365 including Teams and Planner.
