Job Description - Logistics Coordinator
Logistics Coordinator (LC) As a Logistics Coordinator, you will play a pivotal role in ensuring the safety, quality, and timely delivery of our clients' shipments. You will oversee daily operations, dispatch drivers, and manage various aspects of the logistics process.
Duties and Responsibilities:
Dispatching :
- Plan, implement and oversee operations.
- Outline the daily stand-up note to outline the compliance of safety, quality and delivery success
- story.
- Prepare pouch route kits for routes, (keys, walk around inspection, safety, WMS, and weather
- bags) When going to offsite parking lot take one or two extra van pouches with you in case of
- break down or unable to start of assigned van.
- Prepare load out sheet for DA's so they are aware to the park locations in station
- route racks and load.
- Lead and conduct daily load outs until last van is departed
- Expressively engage before each Gemba with dispatchers ensuring we have answers and solutions for at risk routes, assist as required.
- Release DA routes by wave to station for loading, organize entry and exit with DA's by following
- established station rules for load outs.
- Opens cages and checks devices, and all on road equipment daily
- Takes daily attendance and assigns routes to DA's based on experience and area knowledge
- Assign all routes through portal to scheduled DA's and prepare all tools and equipment
- for the routes to deliver to station(s) daily in time for shift start.
- Attend all information meetings regarding routes or station rules or changes, actively
- monitor the route allocations to ensure
- Execute all processes and procedures as per SOP, software systems, spreadsheets and
- routing tools functions, devices
- Start dispatching duties at station and respond to any equipment or route failures.
- Dispatch and assist drivers and carriers on routes, ensuring accurate recording of arrival and departure times
- Monitor each driver with them on the road performance and safety. Providing daily coaching &
- troubleshooting on road delivery issues. Communicating with them for customer escalations and proving periodic progress report every 3 hours on their routes.
- Drivers who are behind on the route diver every 15 minutes to see improvement and/or inquire immediately if not.
- Monitor and ensure that all delivery "per on zone hours are met" hourly and UTL's
- Monitor all Routes and all delivery package details, by incident, by hourly and by day, checks all deliver exceptions to ensure 100%, re attempts are done for each route
- Managing service level agreement of keeping 99% delivery success, responding to customer escalations in a promptly with client and communicating with end results on daily basis.
- Ensure routes are correct and communicate all adjustments back to station managers to change route assignments on the fly.
- Release all vans in order by load out assignment sent daily to station, do this for all timed stations possible two at the moment.
- Drive back and help load at station if all assignments arrangements have been made for load out.
- Handoff shifts and debriefs at the end of the shift
- Collect gas receipts and devices and ensure equipment is charged and accounted for.
- Execute all processes and procedures as per SOP, software systems, spreadsheets and routing tools functions, devices
- Maintain a fuel pin list with all drivers. When encountering issues, must reach out to finance.
Reporting
- Prepare the standard tracker with 100% accuracy, send out the MLO, MCO, ELO, EOD report and the next day shift confirmations, scheduling route in portal and prepare hourly schedule
- Report any daily challenges to the client, and management
- Complete all EOD and tracker reports accurately
- Execute all Go Logistics processes and procedures as required, accurately enters in detailed data
- daily into Go tracker sheet reports on all Safety related issues pertaining to DA; s or customer deliveries.
- Complete sick questionnaire for each employee and send to HR and Director of Risk Management
- Prepare daily inventory of handout accessory with drivers and recording them while receiving back in the evening. Presenting inventory checks in daily EOD reports.
- Report any daily challenges like on road conflicts or accidents on road, driver abuse to the client, and management to Senior Management and Human Resources
- Prepare a list of deficiencies or DA's requests or inquires and report back in email writing to appropriate departments with a specified
- Administer investigations pertaining to workplace injuries, vehicle accidents, product or property damages and load & delivery discrepancy reports.
- Maintain DA overtime and working compliance hours
Troubleshooting
- Respond to real time on the road issues and all phone inquiries within 3-5 minutes
- Manage service concerns, as required, to limit exposure and minimize impact to the customer
- Timeline for a response, monitor timelines and follow up with each department until it is resolved,
- CC all superiors at all communications
- Resolve employee issues within 24-hour period. If unable to resolve, report to Senior
- Management and Human Resources.
Health and Safety
- Coordinate any safety issues for any reason that may ground the van so maintenance can be
- performed at the earliest time.
- Encourage road safety with each DA and review the circle check sheets that each DA is
- completing to ensure accurately
- Ensure to maintain 2 meters social distance with other employees
- Ensure to wear required PPE daily
- Ensure your station is compliant with Health and Safety requirements and minutes of meetings are posted on the notice board within the timeline required by the Ministry.
- Monitor & ensure proper safety procedures are being followed inside the warehouse and following
- TDR procedure while docking & releasing the trailers at the docks.
- Take body temperature checks off all the employees from the entrance point and maintaining the logfile on daily basis and presenting that to risk director.
- Follow up with drivers who calls in sick with their symptoms or with their agencies for a proper communication in regards to symptoms of employees
Fleet
- Retrieve all filled out inspections' sheets and ensure they are completed properly, note down and
- communicate to Fleet Coordinator
- Keep a close supervision on vehicle damages as well as on their repairs and reporting them daily to supervisor and coordinating with Concern department for any van issues and maintaining the traceability of all the issues related to fleet.
- Maintain all maintenance records for the vehicles and keeping a track of it and following up with vendors for any maintaining issue with vans.
- Conduct vehicle inspections and communicate damages
- Monitoring drivers at gas station and parking lot.
Other
- Compliance in staffing, equipment and work supplies.
- Follow all company policies
- Follow COVID-19 protocols put in place by client and Go Logistics Inc.
Physical requirements:
- Sitting and or standing for long periods as required including at a desk, in meetings or in the warehouse
- Able to frequently lift and/or move up to 49 pounds and occasionally lift and/or move up to 49 lbs.
- Drive vans out if needed, loadout assistance etc.
Working conditions:
- Overtime as required
- Flexible to work 7 days a week for both morning and afternoon shift

What You Bring:
Reliable, punctual, and ready to work full-time (including weekends).
Clean criminal background and driver's abstract (no demerit points).
Valid G Class driver's license. Note: a Driver Road Test will be conducted in Oakville, ON
Comfortable using delivery apps and mobile devices.
Good communication skills.
Minimum age: 23 years
