For the 2026 season, we specialize in weekend weddings that include a 2-night stay in our mid-century-adorned Victorian farmhouse, with exclusive access to the full 100-acre property and our renovated barn turned modern venue. We intentionally host one wedding per week, with only rare occasions hosting two, allowing us to deliver a highly considered, unhurried experience for every couple.

We're looking for a core team member to lead our client experience end-to-end, someone grounded in hospitality and events, with strong organization skills and a calm, can-do approach. This role is about guiding clients through the process with clarity, confidence, and care, from first touchpoint through final farewell.

THE BIT ABOUT THE JOB:

Full-Time Event Planner

Role Focus: Event Planning & Coordination | Guest Experience | On-Site Execution

Position Purpose: The Event Planner ensures every booked event runs smoothly from planning through execution. This role focuses on logistics, client guidance, and on-site leadership while collaborating with the Venue Manager (and external planners occasionally) to maintain consistency with what was sold.

1. Client Experience & Planning

  • Serve as main contact for booked clients from contract signing to event day.
  • Lead planning meetings, walkthroughs, and timeline discussions.
  • Advise clients on event logistics (layouts, rentals, decor, schedule) with expertise and empathy.
  • Ensure all client communications are professional, timely, and clear.
  • Maintain comprehensive planning files, documenting client preferences, vendor details, and timelines.

2. Event Logistics & Coordination

  • Develop detailed event timelines, including ceremony, cocktail hour, dinner, and reception flow.
  • Create and maintain floor plans, seating charts, and layout diagrams.
  • Coordinate and communicate with vendors for catering, rentals, entertainment, florals, and transportation.
  • Anticipate logistical challenges and create contingency plans.
  • Ensure planning aligns with venue operational capabilities and standards.

3. Event Day Leadership

  • Arrive early to oversee all setup, vendor arrivals, and venue readiness.
  • Serve as the primary point of contact for the client, vendors, and on-site staff.
  • Direct the event timeline in real time, proactively adjusting as needed to ensure smooth flow.
  • Lead guest experience management, addressing questions or concerns with professionalism and calm authority.
  • Coordinate all teardown activities and confirm the venue is returned to operational standards.

  • Arrive early to support venue setup and ensure all venue-provided elements are executed as planned.

  • Act as the primary point of contact for venue operations while deferring overall event leadership to the hired planner.
  • Support the planner by monitoring timing, flagging potential issues, and assisting with real-time adjustments as requested.
  • Assist with guest inquiries related to the venue, escalating broader concerns to the external planner as appropriate.
  • Oversee venue teardown responsibilities and confirm the space is reset to venue standards.

4. Collaboration & Alignment

  • Partner with Venue Manager to ensure continuity from booking to execution.
  • Confirm that all event elements delivered match promises made during sales.
  • Flag potential operational or logistical limitations early.
  • Contribute to standardization and continuous improvement of processes.

5. Administrative & Team Support

  • Maintain accurate and organized client files, timelines, and vendor contracts.
  • Develop and refine planning tools, templates, and checklists.
  • Participate in team meetings and training to support knowledge-sharing.
  • Review vendor schedules and coordinate logistics for upcoming events with the Venue Manager.
  • Reset furniture weekly per the approved floor plan with the Venue Manager as needed.
  • Help maintain a positive, client-focused team culture.

Typical Weekly Tasks

  • Client emails, meetings or calls to review plans and confirm details.
  • Update and maintain planning timelines, floor plans, and vendor coordination documents.
  • Communicate with vendors and venue staff to finalize upcoming events.
  • Conduct pre-event site walkthroughs and prepare logistical plans.
  • Weekly team meetings to review bookings, upcoming events, and planning priorities.
  • Review vendor schedules and coordinate logistics for upcoming events with the Venue Manager.
  • Reset furniture weekly per the approved floor plan.

Typical Event Weekend Tasks

  • Coordinate and lead the rehearsal ceremony the day before the wedding.
  • Arrive early on event day to coordinate setup and confirm readiness with vendors and staff.
  • Direct vendors, staff, and volunteers to ensure adherence to the event timeline.
  • Monitor and adjust event flow in real time to support a smooth guest experience.
  • Serve as a calm, confident point of contact for clients, guests, and the onsite team.
  • Act as the closing manager when scheduled, overseeing teardown, confirming venue restoration, and ensuring all event elements are properly wrapped.

Job Types: Full-time, Permanent

Pay: $25.00-$30.00 per hour
