Hours of Work: 37.5 weekly – 7.5 hours Monday to Friday – flexibility to meet program requirements

The TCS Administrator provides core administrative and records-management support across TCS programs, with a focus on Building Kinship Ties Mentorship Program and Wâhkôhtawin in Motion. This role ensures accurate case documentation, timely reporting to the Ministry of Social Services, consistent communication with the team and mentors, and strong organizational systems that keep the programs running smoothly.

Key Responsibilities:

1. Case Management Support & Documentation

  • Maintain, file, and organize all mentee and mentor case notes.
  • Ensure all documentation meets Ministry of Social Services expectations and TCS internal standards.
  • Track action items, follow-ups, and program notes in a timely and organized manner.
  • Maintain confidential records in compliance with privacy policies.

2. Reporting & Compliance

  • Prepare monthly reports for the Ministry of Social Services, including high-level summaries of program progress, caseload updates, and key metrics.
  • Support creation of monthly internal reports for TCS leadership.
  • Assist with bill-back forms, financial tracking documents, and uploading new month templates.

3. Program Administration

  • Manage email inboxes, calendars, and scheduling for BKT & WIM programs.
  • Support communication with mentors, mentees, families, and community partners.
  • Assist in onboarding new mentors or mentees (forms, documents, scheduling, records setup).
  • Track equipment inventory for WIM activities (bikes, helmets, paddleboards, etc.).

4. Team Support

  • Provide administrative support to program managers, mentors, and practicum students.
  • Coordinate meeting notes, agendas, and follow-up tasks.

· Help manage data collection tools for program evaluation

Qualifications:

  • Strong organizational and administrative skills.
  • Experience with case management documentation (asset).
  • High attention to detail and ability to maintain confidentiality.
  • Strong communication and professional email etiquette.
  • Ability to work in a fast-paced, culturally informed, trauma-aware environment.
  • Knowledge of Indigenous communities and cultural safety practices is an asset.
  • Understanding of Microsoft Office, Excel, Word, PowerPoint

Pay: $23.90-$25.10 per hour
