Job Overview

The Professional Services Coordinator is responsible for supporting the Professional Services team and ensuring coordinated operations across BCREA. This role provides high-level executive assistance and project support, including meeting coordination, editing, and reviewing materials in accordance with BCREA's style guide standards, as well as assistance with cross-departmental initiatives. The Coordinator tracks projects, anticipates upcoming needs, and facilitates the flow of information to ensure work progresses effectively.

Primary Job Responsibilities:

1.    Project Coordination

  • Supports the development of project plans, requirements, and management strategies.
  • Maintains and monitors project plans and project schedules, adjusting as needed to meet project goals and deliverables.
  • Provides administrative support to the project manager by organizing meetings, preparing presentation materials, attending sessions, and recording and distributing meeting notes.
  • Follows up on key actions and decisions from meetings and maintains project documentation throughout the project lifecycle.
  • Proactively anticipates next steps in workflows and identifies emerging needs to keep projects moving efficiently.
  • Coordinates with other teams and departments to ensure timely project execution.
  • Provides detailed updates to project managers and relevant stakeholders.
  • Assists in assessing performance metrics at the completion of projects to identify areas for improvement and areas that worked well for future projects.

2.    Support for Professional Services

  • Provides high-level executive assistance for the Senior VP of Professional Services.
  • Supports day-to-day coordination of Professional Services activities and priorities.
  • Provides support in implementing Strategic Plan goals and objectives related to Professional Services and provides timely updates.
  • Coordinates and supports task force and committee meetings, including scheduling, preparing and distributing agenda packages, and related materials.
  • Records accurate committee and task force meeting notes and ensures timely distribution and follows up on action items.
  • Anticipates information, scheduling, and coordination needs to support the Professional Services team effectively.

WHAT YOU BRING

Education and Experience

  • Bachelor's degree in a relevant discipline or equivalent combination of relevant experience and education.
  • Minimum of 3 years' experience providing high-level administrative and project coordination support, ideally within a professional association or multi-stakeholder environment.
  • Experience supporting teams in technology tools, troubleshooting basic issues, and promoting consistent digital practices.

Competencies

  • Proficient with technology platforms, including Microsoft 365, SharePoint, digital collaboration tools, and workflow or project management systems.
  • Innovative problem-solving and analytical reasoning.
  • Strong project management skills and aptitude to consistently meet deadlines.
  • Strong attention to detail, accuracy, transparency, and responsiveness.
  • Ability to work both independently and collaboratively in a team environment.
  • Ability to manage multiple priorities, meet deadlines, and adapt to changing needs.
  • Excellent listening, written, and verbal communication skills.
  • Strong interpersonal skills and ability to work effectively with diverse stakeholders.
  • Demonstrated ability to anticipate needs and identify next steps in projects, tasks, and workflows.
  • Knowledge of the real estate profession and organized real estate structure in BC is an asset.

WHAT WE OFFER

  • Salary ranges from $70,840 to $88,550. The starting salary for this position will be determined based on the successful candidate's relevant education/training, job-related skills, and experience.
