A Day in the Life: - Book service and repairs for all company trucks using PO numbers or p‑cards and update corresponding vehicle records in Element and Flynn systems. - Maintain all commercial fleet files, permits, driver records, and ensure commercial driver paperwork is accurate and submitted on time. - Schedule annual inspections for all Flynn equipment and complete yearly vehicle registrations, providing documents to department managers. - Provide insurance slips, complete accident reports for insurance/head office, and update all tickets and accidents in the Flynn system. - Approve driver and mechanic hours in the payroll system and compile annual abstracts, ensuring employees sign off on driving policies. - Prepare new vehicles (insurance, registration, fuel cards), order new fuel cards as needed, and enter new trucks into Flynn and Element systems. - Manage yard and building maintenance, including seasonal tasks such as snow removal, lawn mowing, and coordinating office repairs. - Handle all shipping and receiving duties, including scheduling deliveries with Superintendents and Project Managers using Flynn trucks or external carriers, and responding to calls from outside carriers. - Oversee stores operations and assist with pricing.

What We Are Seeking - Knowledge of building standards and requirements - 3-5 years' experience in a property / facility management role is an asset - Previous experience in Fleet Management is considered an asset - Excellent verbal and written communication skills - Strong analytical, problem solving and negotiation skills - Ability to work independently and with others - Strong organization skills and attention to detail
