Job Summary

We are seeking a highly organized and experienced Administrative Supervisor to oversee daily operations within our medical office. The ideal candidate will possess strong leadership skills, extensive office management experience, and proficiency with Jane Scheduling System. This role involves supervising administrative staff, managing front desk activities, and ensuring efficient office workflows to provide exceptional patient service and support clinical staff.

Responsibilities

  • Greet and assist customers with professionalism and care

· Answer phones, book appointments, and manage scheduling

· Check in patients for appointments

· Respond to emails and inquiries promptly

· Communicate with and bill insurance companies

· Work with spreadsheets, charts, and other documents

· Support the team with a variety of office and customer service tasks

Coordinate the admin staff to make sure all aspects of the medical side is running smoothly, this includes open communication with management, Fitters and Pedorthists as well as insurance companies and patients with regards to accounts receivable matters.

Skills

  • · 2–3 years of previous Medical administrative/Supervisory experience

· Strong organizational skills and the ability to multitask in a fast-paced setting

· Confidence working independently and problem-solving as well as working with staff and patients

· Proficiency with Excel, spreadsheets, and basic computer programs

· A positive attitude, reliability, and adaptability to wear "many hats" throughout the day

· Experience with Jane or similar schedulers would be a nice bonus

Experience with billing and calling insurance

· Availability for 30–40 hours per week, including some evenings and Saturdays

This position offers an opportunity to lead a dedicated team within a professional healthcare environment. The successful candidate will be instrumental in maintaining smooth office operations while delivering outstanding patient care.

Job Type: Full-time

Pay: From $22.00 per hour

Expected hours: 32 – 40 per week
