About the Role
As the Payroll Administrator, you will play a trusted and impactful role in supporting the people who power Canadian College Reporting to the Manager, People and Culture, you will ensure payroll is delivered with accuracy, care, and compliance—providing employees with confidence that they are paid correctly and on time.
This role supports a semi-monthly payroll cycle for staff, faculty, and subcontractors and oversees end-to-end payroll processing using UKG. Beyond payroll, you will contribute to benefits administration, compliance reporting, and onboarding support, partnering closely with the People & Culture and Finance teams.

Key Responsibilities
- Payroll Operations
- Process semi‑monthly payroll for staff, faculty, and subcontractors using UKG, ensuring accuracy and adherence to established timelines
- Maintain and update employee records in UKG, including new hires, terminations, and compensation changes
- Monitor the shared payroll inbox; respond to inquiries and escalate issues as appropriate
- Coordinate payroll cut‑off reminders and ensure required documentation is received on time
- Review and enter rate confirmations and payroll adjustments
- Record, reconcile, and validate insurable hours, earnings, and deductions
- Generate payroll reports (e.g., RRSP contributions, year‑to‑date summaries) as required
- Prepare and submit Records of Employment (ROEs)
- Investigate and resolve payroll discrepancies in a timely and professional manner
- Prepare monthly payroll integrations and reports for the Finance team
Vacation, Benefits & Compliance
- Track and maintain vacation accruals and balances within UKG
- Ensure vacation usage aligns with employee entitlements and internal policies
- Calculate, reconcile, and update benefit deductions and rates
- Prepare and submit monthly and quarterly remittances (WCB, OHIS, WorkSafeBC, EHT)
- Support the maintenance of internal rate matrices and compensation tracking tools
- Assist with reconciliation of payroll‑related general ledger accounts
- Ensure compliance with internal policies and applicable employment and payroll legislation
Administrative & Onboarding Support
- Verify new hire documentation, including tax forms and benefits enrolment
- Monitor the onboarding module each pay cycle to confirm payroll readiness
- Lead or support staff orientations in collaboration with the Talent Acquisition team
- Audit and maintain employee records in UKG to ensure data integrity and regulatory compliance
- Liaise with the Scheduling and Contracts Administrator and HR Assistant to ensure alignment between contracts and payroll data
- Provide general administrative support to the People & Culture team as required
Qualifications
- Minimum of 1 year of experience in a clerical, payroll, or administrative role
- Payroll Compliance Practitioner (PCP) designation, or currently in progress, is considered an asset
- Proficiency with Microsoft Outlook, Excel, Word, and PDF tools
- Strong ability to work effectively under strict deadlines
- Excellent administrative, organizational, and attention‑to‑detail skills
- Strong written and verbal communication skills
- Working knowledge of the Employment Standards Act and payroll best practices
