Overview

We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office technology, and the ability to manage multiple tasks efficiently. Experience with medical or dental offices, QuickBooks, and Microsoft Office is highly desirable. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth office operations.

Responsibilities

  • Greet visitors and clients in a friendly and professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and maintain calendars using Google Workspace or similar tools
  • Perform data entry, filing, and record keeping with accuracy and attention to detail
  • Handle incoming and outgoing correspondence, including emails and mail
  • Assist with administrative tasks such as proofreading documents, managing paperwork, and maintaining office supplies
  • Support bookkeeping activities using QuickBooks or other accounting software when necessary
  • Provide customer support by addressing inquiries promptly and courteously
  • Maintain a clean and organized reception area to ensure a professional appearance
  • Coordinate with other departments to facilitate smooth daily operations

Qualifications

  • Proven clerical or administrative experience, preferably in medical or dental offices
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
  • Experience with QuickBooks is a plus
  • Excellent phone etiquette and customer service skills
  • Organizational skills with the ability to multitask effectively in a fast-paced environment
  • Attention to detail for proofreading, filing, and managing records accurately
  • Ability to handle multi-line phone systems efficiently
  • Basic bookkeeping knowledge is advantageous
  • High school diploma or equivalent required; additional office or medical office training is preferred
