Our programs are designed to develop strategies and enable unemployed and underemployed Albertans to work towards and succeed in achieving their employment goals.
All of these services are provided at no cost to our clients to support them in attaining employment matching their education and experience.
What does our Program Assistant focus on?
It is an exciting position where you can contribute to the overall growth and development of our programs. You would be interacting and assisting our team with daily activities.
Specifically, your responsibilities will include:
- Answer phones and direct calls to the appropriate staff members
- Provide information on all services available and process for accessing our programs
- Assist with departmental functions including, but not limited to: updating records, tracking project progress and data accuracy.
- Register students in classes/programming.
- Order and organize needs for office supplies and office operation.
- Maintain statistical records and develop statistical reports as needed
- Prepare and maintain client files (electronic and hard copy)
- Meeting with potential clients, provide specific program services information and refer clients to the appropriate program according to their identified need
- Prepare to outgo and receive incoming mail and deliveries
- Assist Coordinators & Managers in all administrative tasks
What skillset should our Program Assistant have?
Reporting to the Regional Manager, the ideal candidate will be naturally organized and works best in a busy environment, juggling several priority tasks. We are looking for someone who can support, lead and help build a collaborative culture. Other desirable attributes include:
- 3+ years of administrative/customer service support experience
- Post-secondary education in Administration or related fields is an asset
- Strong computer skills and an Advanced level user of MS Office Suite; Mobius knowledge is an asset
- Strong accuracy and data entry skills, proven track record of dealing with a high volume of paperwork
- Excellent communication skills (written and verbal) with the ability to build rapport with a diverse client base and staff team
- Knowledge of employment barriers, Alberta and Red Deer labour market conditions, training and education programs and community resources is an asset
- Creativity, initiative, good judgment, and the ability to express thoughts clearly and simply are essential
- Approachable, comfortable, and self-aware when communicating with clients while maintaining a professional approach both in a one-to-one and group settings
- Motivated self-starter who can work with a wonderful team
