**Clerical Assistant, Admissions, Undergraduate Medical Education Program**:
**Primary Purpose**: To provide confidential administrative support to the Undergraduate Medical Education MD Program Admissions Office in the College of Medicine.
**Nature of Work**: Reporting to the Admissions Coordinator, the clerical assistant is a key member of the Admissions team. The position provides administrative support to the Director of Admissions and Admissions Coordinator. The position exercises discretionary decision making and decisions according to established policies. The work encompasses a broad range of complex duties and processes that involve various deadlines, peak period and situations that requires both the ability to work independently as well as part of a team. Tasks involve highly sensitive and confidential matters. It is an extremely high-volume position that requires the ability to work under pressure in a fast-paced environment.
**Typical Duties**:
- Provide administrative support to the Admissions Office, the Director of Admissions and the Admissions Coordinator for the Undergraduate MD Program
- Act as the initial point of contact for all admission related inquires from applicants, faculty, university members, stakeholder groups and the general public
- Assist with verification, recording and extracting of applicant information in RMS Recruit
- Assist with the management and coordination of information to applicants during the admissions process
- Assist with interview planning and the carrying out of the interview process
- Assist with recruitment and other admissions sponsored events
- Provide administrative support to the Admissions Committee (i.e., scheduling meetings, maintenance of SharePoint, recording and transcribing minutes)
- All other duties as assigned
**Education**: Completion of Grade 12 and a recognized post-secondary or administrative assistant program is required. An equivalent combination of training and experience may be considered.
**Experience**: Three to five years of related experience, preferably in a University setting is required. Experience with the Relationship Management System (RMS) Recruit, Banner (SiRius), Banner Document Management, Microsoft Office, Zoom, Crystal Reports, Canvas, Cascade, and a strong knowledge of the University of Saskatchewan policies and procedures would be an asset.

- Meticulous attention to detail
- Possess strong computer skills including keyboarding and proficiency with Microsoft Office software (Word, Excel, PowerPoint, Outlook) and database management
- Demonstrate effective interpersonal and communication skills, both written and verbal; tact, diplomacy; intercultural sensitivity and maintain strict confidentiality
- Ability to recognize and analyze problems, take appropriate actions or formulate an appropriate response and also have the ability to recognize when other staff need to be involved/consulted
- Experience with post-secondary level (domestic and international) transcript review and evaluation would be an asset
