As we continue to scale our consulting and SaaS operations, we are seeking an Operations & Finance Coordinator to support day-to-day business functions—including invoicing, client procurement portals, subscription renewals, office logistics, and grant application support.

This is a key role for someone who is proactive, organized, and eager to contribute to a fast-paced, technology-driven environment.

Key Responsibilities

Finance & Administration

  • Prepare and send client invoices in coordination with the technical team
  • Track payments, follow up on outstanding receivables, and manage cash flow timelines
  • Maintain and manage entries in client procurement systems (e.g., OpenInvoice, Ariba, Coupa, SAP Fieldglass, etc.)
  • Oversee recurring software subscription renewals, including client communication
  • Support internal expense tracking and financial documentation for year-end and audits

Operations & Internal Support

  • Order and track office supplies, IT equipment, and service vendor requests
  • Help coordinate internal logistics and scheduling across project and BD teams
  • Support documentation and tracking for grant and funding applications (e.g., SR&ED, IRAP, Alberta Innovates)
  • Provide day-to-day administrative support to technical and executive leadership

Ideal Candidate Qualifications

  • Post-secondary education in business administration, finance, accounting, or related field
  • 2–4 years of experience in administrative or finance/ops coordination roles
  • Strong experience with invoicing software (e.g., QuickBooks, Xero, Wave)
  • Previous exposure to client procurement/vendor onboarding platforms (e.g., Ariba, OpenInvoice, Coupa)
  • Comfortable managing recurring SaaS billing cycles and renewals
  • Proficiency in Excel, Google Workspace, and digital business tools
  • Strong organizational, communication, and multitasking skills
  • Experience supporting grants or technical funding programs is an asset
