The Business and Finance Coordinator as a member of the YWCA Toronto Employment team, is responsible for overseeing and implementing all business-related activities of the Employment Ontario (EO) Integrated Employment Services (IES) model of service delivery to ensure that the goals, objectives and outcomes, as specified in the guidelines and contract agreements, are accomplished and for ensuring all administrative, financial and technical related duties are completed. The Business and Finance Coordinator will work as part of the team, contributing to quality service delivery and achievement of program goals while maintaining an effective working relationship with the community and in accordance with the Mission and Policies of YWCA Toronto.

ABOUT YWCA TORONTO – YWCA EMPLOYMENT CENTRE (2425 Eglinton Avenue East)

YWCA Toronto Employment Centre at 2425 Eglinton Avenue East, is a customer-focused program model for job seekers and employers, with focus on women, young women and gender-diverse people. This program is also open to men. The YWCA Toronto Employment Centre is part of the Integrated Employment Services (IES) in Toronto under WCG International Consultants Ltd. as the Service System Manager, funded by the Ministry of Labour, Immigration, Training and Skills Development through their Employment Ontario Division (EO). We act as a one-stop service for all jobseekers and employers. We use our resources to support all job seekers, especially those more distantly removed from the workforce, to reach their goals.

KEY RESPONSIBILITIES

  • Prepares and monitors budget in consultation with the Manager
  • Creates cashflow/budget tracking and reconciles revenue and expenses every month; reports surplus/deficit to the Manager
  • Works closely with the Manager and Employment Consultants in monitoring the budget allocations/spending for Employment Related Financial Supports (ERFS)
  • Responsible for processing ERFS payments, uploading payment info in the WCG's Customer Relationship Management (CRM) system FutureFit AI (FFAI) and submitting for reimbursement the Service System Manager (SSM), WCG
  • Monitors FFAI for returned Brokered Incentive Agreements (BIAs) and Client supports claims, investigates reasons for return/rejection, corrects errors and resubmits for reimbursement in timely manner (within a week)
  • Reconciles ERFS and Performance-Based Funding (PBF) payments from SSM and brings it to the Manager's attention if there are any discrepancies
  • Prepares quarterly financial reports and prepares periodic reviews of the budget status
  • Maintains and prepares all bookkeeping records to the satisfaction of the Manager, Director of Employment and Training and Director of Finance
  • Ensures that all administrative activities and requirements for the programs are done in accordance with funder requirements
  • Acts as the primary contact for staff, clients, funders and community partners in the absence of the Manager
  • Provides assistance to staff on program matters in the absence of the Manager
  • Contacts and establishes partnerships with short-term training providers to refer clients and set up training schedule for IES clients
  • Manages the centralized scheduling system for intake appointments, ensuring up to 1,600 appointments are booked annually
  • Coordinates appointment distribution across Employment Consultants, maintaining balanced caseloads and program targets
  • Develops and maintains booking protocols, including appointment confirmation, reminders, and rescheduling
  • Ensures all client booking and tracking processes align with funder requirements and organizational policies
  • Supervises the Relief staff, assigns and arranges for relief shifts
  • Plans and assigns work to the front desk staff based on program schedule and priorities
  • Addresses day-to-day issues which may arise from the supervision of staff and brings performance related issues to the attention of the Manager
  • Provides computer trouble-shooting, assists in ensuring the security of the system and performs on-going or preventative maintenance where needed especially as it relates to illegal software and websites accessed or downloaded by clients
  • Maintains a working knowledge of computer software including all new software acquired for the program
  • Advises the Senior Manager of Information Technology on computer software/hardware needs and assists in the research of hardware and software solutions as required
  • Acts as the site contact to ensure that the health and safety procedures are followed by staff and/or participants and to arrange for maintenance work if required to ensure the physical safety and security of employees and/or participants in a non-YWCA building

QUALIFICATIONS

  • In-depth knowledge of commerce, business administration, accounting or office management as normally acquired through a 4 year undergraduate degree
  • 3-5 years directly related work experience in Business Coordination, Finance or Program Administration
  • Supervisory Experience
  • Demonstrated knowledge and experience in general accounting practices and proficiency with accounting software
  • Experience in finance report generation and budget monitoring essential
  • Knowledge of monitoring restricted and un-restricted funding for non for profits
  • Strong computer literacy, including knowledge of computer systems, hardware and various software packages
  • Detail oriented with excellent organizational and time management skills
  • Excellent oral and written communication skills required
  • Strong interpersonal skills and relationship-building skills
  • Strong analytical and creative problem-solving skills
  • Commitment to working with people from diverse backgrounds
