Position Summary

The Intake Coordinator is the first point of contact for participants - both over the phone and in person. As a primary support of the Fort Saskatchewan and Sturgeon Region Family Resource Network Hub, the Intake Coordinator is responsible for answering calls, greeting visitors, as well as scheduling and facilitating intakes. They continually provide information and referral support services to individuals, and families with children 0-18 years of age. The Intake Coordinator sets the tone for the entire participant experience, creating an environment where people feel welcomed, heard, respected, and valued. We're looking for someone who brings warmth, professionalism, and energy to the front desk.

Duties and Responsibilities

  • Create an inviting and inclusive environment for anyone accessing Families First Society in Fort Saskatchewan and Sturgeon Region
  • Provide trauma informed, unconditional positive regard for Families First participants and partners
  • Respond to and direct participants who reach out via phone, social media, email, and on a walk-in basis
  • Establish quick rapport and build healthy relationships with individuals / families
  • Gather and distribute event and program information across the geographic area (including, but limited to, the FRN information
  • Schedule and facilitate intakes with individuals and families while honoring their needs / availability
  • Provide follow up as necessary and offer brief support to individuals and families on the waitlist
  • Maintain and document interactions using a database ensuring information is secured and organized
  • Build positive relationships with community partners and represent Families First at applicable meetings
  • Provide flexible support; meeting families in community locations that feel safe and comfortable for them and adjusting work schedule to ensure needs are met in a timely manner
  • Register community members for programs within Families First programming.
  • Establish and maintain healthy relationship as well as regular and transparent communication with BGC Fort Saskatchewan and Creating Hope Society our spoke partners.
  • As necessary, utilize screening tools such as: ASQ-3, ASQ:SE, Strengths & Difficulties Questionnaire, Family Violence Prevention Protocol, etc.
  • Coordinate services and support systems navigation when required
  • Connect regularly with partners to foster relationships and support streamlined referral processes
  • Advocate for children, youth and families
  • Weekly consultation with leadership
  • Participate in data collection and evaluation, and complete reporting tools as required
  • Report trends to Manager of Community & Support Services
  • Attend / coordinate community events as an FRN representative and coordinate community involvement

Qualifications

  • Diploma or degree in human services field; or at least four years of work-related experience.
  • Familiar with Fort Saskatchewan and area community resources; ability to support systems navigation and referrals
  • Demonstrate skills for screenings, assessments, documentation, case management, and service coordination
  • Strong advocacy skills and ability to work collaboratively with community partners
  • Excellent time management and organizational skills
  • Excellent interpersonal skills, correspondence and documentation
  • Ability to work in fast-paced role and willingness to adapt well to change in work priorities
  • Community minded, open communication
  • Ability to develop and maintain positive working relationships
  • Ability to accommodate a flexible work schedule; this includes some days, evenings, weekends
  • Strong understanding of child-development, brain science, attachment theory, trauma-informed care, resiliency, and strength-based theory.
  • Ability to work with individuals with complex needs
  • Access to a reliable vehicle and clean driving record
  • Ability to provide criminal record check and intervention record check
  • Willingness to embrace the culture and values of Families First Society
  • Commitment to Truth and Reconciliation Commission's Calls to Action and principles of equity, diversity and inclusion
