Receptionist/Office Coordinator

Position Overview
We are a large investment firm with multiple Advisors operating from a fast-paced, professional office environment. We are seeking a highly organized and personable Receptionist / Office Coordinator to serve as the first point of contact for clients and visitors while ensuring the smooth day-to-day operation of the office. This role is critical in supporting Advisors and staff by maintaining an organized, welcoming, and efficient workplace.
Key Responsibilities
Reception & Client Experience
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Respond to electronic communications and ensure messages are responded to in a timely manner
- Foster positive client relationships by providing excellent customer service and resolving inquiries professionally
Office Coordination & Administration
- Receive, sort, and distribute incoming mail and courier packages
- Prepare and send outgoing mail and courier shipments
- Book and manage boardrooms and meeting spaces
- Order and maintain office and kitchen supplies
- Coordinate office lunches and internal events
- Send out office-wide communications as needed
- Serve as the main point of contact for office-related issues
Facilities, IT & Vendor Liaison
- Coordinate with building maintenance, property management, and IT support for office issues
Qualifications & Skills
The ideal candidate will demonstrate the following:
- Highly organized with the ability to prioritize tasks in a dynamic office environment
- Excellent verbal and written communication skills, with a strong ability to interact professionally with team members, clients, and business partners both in person and in writing
- Proficient with Microsoft Word, Excel, and communication platforms; comfortable learning new technologies
- Excellent multitasking skills, enabling efficient and accurate completion of multiple responsibilities
- Strong interpersonal and customer service skills, including the ability to handle inquiries, resolve issues, and maintain a high standard of professionalism

Pay: $40,000.00-$55,000.00 per year
