Position Summary

Pavilion Cowork is seeking a Senior Community Coordinator to join our expanding team.  As the Senior Community Coordinator, you are the welcoming face and heart of our coworking spaces, ensuring every member, guest and partner feels at home the moment they walk through our doors.  You'll play a key role in building a vibrant, connected and productive community by providing exceptional service, coordinating daily operations, team leadership and supporting the events and programs that enhance the member experience.

Core Duties & Responsibilities

Member Management

  • Facilitate the onboarding process for new members, ensuring accuracy and completeness;
  • Review and approve monthly invoices, maintaining adherence to established policies;
  • Ensure a positive member experience consistent with the Pavilion Brand;
  • Accounts receivable management;
  • Monitor member accounts and payment status diligently, ensuring all accounts are up to date;
  • Address member issues effectively and promptly; including billings, operational and service issues
  • Manage the offboarding process for members; and
  • Manage Slack communications with members.

Front Desk Operations

  • Create and maintain a welcoming atmosphere for members, employees and visitors;
  • Maintain a consistent presence at the front desk, supporting security protocols and sign-ins;
  • Oversee office opening and closing procedures; and
  • Support internal team with administration, meeting set up and daily tasks.

Sales Support

  • Assist the sales team with tour appointments and effectively communicate membership benefits; and
  • Support in negotiating contract renewals with existing members, aligning with sales targets and objectives.

Office Management

  • Maintain office supplies inventory, ensuring adequate stock levels and cost-effectiveness;
  • Direct support staff (including Space Integrity and Front Desk) to uphold cleanliness standards and operational procedures;
  • Support the Regional Manager with development of office management budgets and own the reviewing expenditures, and providing monthly updates;
  • Support the Regional Manager with on-site human resources tasks such as the on-boarding and offboarding of staff; and
  • Ensure successful execution of VIP meetings held by the Executive and Senior Leadership Teams.

Partnership and Events Coordination

  • Collaborate with the Marketing team to create engaging content for Pavilion's newsletter;
  • Organize internal and external events, fostering community engagement;
  • Coordinate external meetings, ensuring availability of necessary equipment and supplies; and
  • Cultivate partnerships with local businesses to enhance organizational offerings and support growth.

In addition to these qualities, you possess:

  • 2 to 4 years of experience in hospitality, customer experience or community management.
  • Previous experience in a coworking environment is an asset.
  • Demonstrated ability to manage relationships, operational coordination and engagement.
  • Proficient in Google Workspace applications as well as Microsoft and Adobe. Willingness to learn new software as needed.
  • Excellent verbal and written communication skills and fluency in English.
  • Positive attitude and willingness to learn.
  • Adaptable and flexible, able to work in a fast paced environment, both independently and as part of a larger team.
  • Solutions oriented approach with superior time management, multitasking and prioritization abilities.
  • Eligible to work in Canada (Canadian Citizen, Permanent Resident or valid working visa) required.
  • Knowledge of the Calgary real estate market and/or coworking is an asset.

Total Compensation Package

  • Base Annual Compensation, with a range of $45, $65, depending on experience and qualifications.
  • Vacation & Time Off Package.
  • Extended Health & Dental Benefits upon successful completion of a mandatory 3 month probationary period.
