OVERVIEW

We are seeking a detail-oriented Event Coordinator Contractor to support event-based marketing initiatives within People, Culture & Brand . This role supports the planning and execution of high-profile internal and external events that engage clients, senior executives, and cross-border stakeholders.

Reporting to the Head, Wealth Management & Enterprise Events, the successful candidate will be responsible for delivering consistently exceptional client and employee experiences through flawless event execution. This is an excellent opportunity for an early-career marketing or events professional who thrives in fast-paced, highly visible environments and is eager to grow within a large, complex financial institution.

Location: Toronto, ON (Hybrid – 2–3 days in office, Wednesday is a set in-office day)

Contract Length: 24 Months

Pay Rate: $30.5/hour

RESPONSIBILITIES

  • Plan, coordinate, and execute internal and external events that deliver high-quality, consistent client and employee experiences.
  • Serve as a primary point of contact for senior executives and clients participating in events and conferences.
  • Support senior leaders through event briefings, scheduling, and on-site coordination.
  • Manage event logistics including venues, vendors, timelines, materials, and on-site execution.
  • Develop event budgets and obtain required approvals aligned with business objectives and client strategies.
  • Assist in the development and execution of annual event strategies.
  • Prepare executive briefing materials and coordinate event schedules.
  • Maintain and manage centralized event calendars.
  • Support the development and implementation of event tracking and reporting to assess effectiveness and strategic alignment.
  • Provide professional, credible support to senior executives during events and internal conferences.
  • Identify and assess relevant competitor conferences and industry events.
  • Select and oversee promotional merchandise used at events.
  • Represent the organization with professionalism, integrity, and strong attention to brand standards.

QUALIFICATIONS

  • 2–3 years of experience in event management, marketing coordination, or a related role.
  • Demonstrated project management skills with the ability to manage multiple events simultaneously.
  • Strong understanding of organizational strategy and the ability to align events with business objectives.
  • Awareness of financial services industry trends and competitive landscape.
  • High level of professionalism and confidence interacting with senior executives and clients.
  • Strong interpersonal and communication skills (verbal and written).
  • Ability to work effectively under pressure, manage ambiguity, and resolve issues on-site.
  • Excellent organizational skills and attention to detail.
  • Proven ability to manage budgets and track expenses accurately.
  • Strong proficiency in Microsoft Excel, PowerPoint, Word, and Adobe Acrobat.
PREFERRED
  • Experience supporting large-scale, enterprise-level events.
  • Familiarity with cross-border or multi-stakeholder event coordination.
  • Event Planning certification or formal training.
EDUCATION
  • University degree preferred (Marketing, Communications, Business, or related field).
  • Event Planning College Certification considered an asset.
