Role Description

This is a full-time, on-site role based in Toronto, ON, for the position of Marketing Coordinator. The Marketing Coordinator will develop and execute marketing strategies, coordinate events, and manage projects to promote BookMySmile's services. Responsibilities include crafting engaging marketing materials, facilitating communication with team members and partners, supporting sales initiatives, and ensuring the smooth execution of marketing campaigns.

Qualifications

  • Exceptional Communication and Writing skills for crafting compelling marketing materials and collaborating with team members and partners.
  • Proficiency in Sales and Event Planning to support marketing campaigns and increase customer outreach.
  • Strong skills in Project Management to ensure the effective execution of marketing strategies and plans.
  • Attention to detail and the ability to handle multiple tasks in a fast-paced environment.
  • Experience in dental, healthcare, or related industries is an advantage.
  • Bachelor's degree in Marketing, Communications, or a related field preferred.

Support local marketing efforts, including events, community outreach, and partnerships.

Collaborate on brand partnerships and co-marketing opportunities with clinics and external organizations. Analyze performance data using dashboards, SaaS tools, and tracking systems to improve results.

Work with developers to report bugs, provide structured feedback, and coordinate updates for a hard-coded website.

Implement and maintain integrations (Zapier, webhooks, CRM tools, analytics, scheduling systems, payment platforms, etc.) to streamline operations and improve efficiency.

Collect, organize, and report on customer feedback to support marketing improvements.

Analytics & Reporting

Track weekly and monthly performance metrics.

Build reports with actionable insights for leadership.

Conduct competitive research to identify trends and opportunities.

Administrative & Communication Responsibilities

Answer inbound calls, provide clear information about Book My Smile, and convert all qualified leads into booked appointments.

Follow up with leads by phone, email, and SMS using CRM tools.

Assist with onboarding dental offices that want to join the Book My Smile platform.

Maintain organized documentation, tracking sheets, onboarding records, and appointment logs.

Provide administrative support to the management team as needed.

Preferred Qualifications

Experience working in a SaaS or startup environment with fast-paced execution.

Skilled with Go High Level automations, funnels, pipelines, and tracking.

Strong understanding of PPC optimization, analytics, and basic SEO.

Experience working with hard-coded websites and coordinating technical updates.

Ability to manage multiple tasks and adapt quickly to changing priorities.

Strong communication skills — both written and verbal — with the ability to convert inbound leads effectively.

Experience with platform integrations such as Zapier, webhooks, CRM tools, analytics, and scheduling systems.

Ideal Candidate

Comfortable handling both marketing tasks and administrative responsibilities.
