Salary Range: CAD $45,000 – $58,500 (commensurate with experience/licensing status)

About the Role

As a Junior Condominium Manager, you will support the effective management of several condominium corporations under the guidance of a senior licensed condominium manager. You will help oversee operations, financial management, resident and board communications, vendor coordination, regulatory compliance and conflict resolution. All the duties are aimed at maintaining a harmonious, well-run community and preserving property value. This role provides a clear path to obtaining or advancing your license with the Condominium Management Regulatory Authority of Ontario (CMRAO) and growing into a full Condominium Manager role. However, already licensed and experienced candidates are welcome to apply

Key Responsibilities (not limited to)

Daily Operations Management

  • Supervise day-to-day operations of the condominium(s), ensuring all common areas, building systems and services run smoothly and efficiently.
  • Manage and track maintenance requests, coordinate repairs with vendors or internal staff, follow-up to verify completion and quality.
  • Perform preventative site checks of common elements (e.g., HVAC systems, fire safety equipment, elevators, exterior shell) to confirm they are functioning properly, flag any concerns, and coordinate with contractors for follow-up as needed.
  • Assist in preparing and implementing preventive maintenance programs, ensuring vendors adhere to schedule and budget.

Financial Management

  • Support the preparation of operating budgets, monitor expenditures versus budget, and maintain accurate financial records for the condominium corporation.
  • Assist with collection of condominium common expense fees, monitor arrears, work with boards and owners to resolve outstanding amounts.
  • Review and code invoices, assist with reconciliations and financial reporting to the board.
  • Monitor reserve fund contributions and work with senior manager/board to plan for long-term capital financing.

Resident & Board Communication

  • Serve as a point of contact for residents and owners: respond to inquiries, concerns, complaints in a timely and professional manner.
  • Facilitate communication between the condominium board of directors and residents: produce clear notices/updates, maintain transparency, support board meetings (preparation of materials, minutes, follow-up).
  • Provide excellent customer service delivery and help foster a positive community environment.

Vendor & Contract Management

  • Negotiate service contracts, monitor and manage relationships with service providers (landscaping, cleaning, security, mechanical, snow removal) to ensure quality, timeliness and adherence to budget.
  • Monitor performance of vendors, prepare and track service level agreements if applicable, and escalate issues appropriately.

Legal & Regulatory Compliance

  • Ensure the condominium corporation complies with the Condominium Act, 1998, the Condominium Management Services Act and all CMRAO-licensing requirements and associated regulations.
  • Maintain and update all records, correspondence, board minutes, meeting notices and inspection logs in accordance with regulatory and internal policy requirements.
  • Actively monitor changes in legislation, best practices and risk management standards; assist senior managers and board in implementing new policies as required.

Conflict Resolution & Community Harmony

  • Address and resolve conflicts among residents, owners and service providers by employing sound judgment, mediation skills and adherence to condo by-laws and rules.
  • Promote a respectful, inclusive, and harmonious living environment; enforce community rules fairly and consistently.

Skills & Qualifications

Required:

  • 1–3 years of experience in property management, facilities coordination, condominium environments, or a related field.
  • Excellent verbal and written communication skills; ability to interact with residents, board members and vendors professionally.
  • Strong organizational skills, ability to prioritize multiple projects in a fast-paced environment and meet deadlines.
  • Problem-solving mindset with ability to handle conflicts and unexpected issues proactively.
  • Proficiency with MS Office (Word, Excel, Outlook); comfort learning new software.
  • Valid driver's license and access to a vehicle to visit sites as required.

Assets:

  • Post-secondary diploma or certificate in property management, real estate, or a related discipline.
  • Familiarity or prior experience with condominium corporations, board operations or vendor/contractor oversight.
  • Existing CMRAO Limited License or General License; if unlicensed, willingness to obtain license under employer support.
  • Bilingualism (English/French)
