Role Overview

We are seeking a highly organized and proactive Operations Assistant to support the core operational functions of the company. This role is central to maintaining smooth internal workflows, supporting sample and inventory management, strengthening documentation systems, and contributing to the ongoing development of scalable operations.

The Operations Assistant works closely with the Operations Lead and collaborates across teams. The role is hands-on and detail-oriented, involving both structured administrative work and practical operational support.

Key Responsibilities

  • Support day-to-day operational workflows across the organization and assist with coordination across teams to ensure timelines and responsibilities remain clear
  • Maintain internal trackers, logs, calendars, and operational records to support smooth execution of ongoing work
  • Perform routine checks of lab inventory (consumables, solvents, and supplies), report findings, and support physical organization of storage areas
  • Assist with receiving, organizing, and managing incoming client samples, as well as supporting long-term sample storage and accurate record maintenance
  • Manage and maintain the company's SOP and internal documentation system, including folder structure, naming conventions, and version control
  • Support development of new documentation for workflows that are not yet formally documented
  • Assist with preparation of internal documents, spreadsheets, and presentations
  • Support routine internal coordination such as meeting notes, email triage, scheduling updates, and reimbursement processing
  • Contribute to operational improvement initiatives that strengthen internal systems and support future growth
  • Provide operational and administrative support to cross-functional teams, and contribute to initiatives that support organizational growth

Required Qualifications

  • Bachelor's degree in a relevant field (science, business, administration, etc.)
  • Able to prioritize effectively, meet deadlines, and manage competing demands
  • Adaptable and comfortable in a fast-changing environment
  • Strong problem-solving skills and sound judgment
  • Able to follow direction while working independently with accountability
  • Exceptional written and verbal communication
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Quick to learn new systems and workflows

Nice to Have (Assets)

  • Experience in operations, administration, coordination, or project support roles
  • Experience working in laboratory, research, healthcare, or other environments
  • Familiarity with metabolomics, lipidomics, or related scientific domains
  • Experience with inventory systems, sample handling, or documentation/SOPs
  • Experience working in growing organizations where processes are evolving
