JOB SUMMARY

Are you a master of creating unforgettable experiences? ActiveDEMAND is looking for an Event Manager to lead the strategic planning and flawless execution of high-impact corporate events.

We're looking for an Event Manager to join our team and lead the planning and execution of impactful corporate events that elevate our brand and drive business growth. Reporting to VP, Sales & Marketing, you'll be the driving force behind conferences, webinars, and partner events that showcase ActiveDEMAND's presence in the market.

In this role, you'll manage everything from logistics and budgeting to vendor relationships, ensuring each event aligns with our marketing and sales goals. You'll also collaborate with internal teams to integrate client-focused components into larger events for a seamless experience.

RESPONSIBILITIES

Event Strategy & Planning

  • Maintaining a comprehensive annual events calendar that aligns with marketing and business-development goals.
  • Defining event-specific and portfolio-wide objectives, including target audiences, success metrics, budgets and business-impact goals.
  • Collaborating closely with Sales and Marketing to integrate the event strategy with go-to-market initiatives.
  • Researching and propose new event-opportunities aligned with target markets and growth objectives
  • Staying current on event-industry trends and recommend enhancements to elevate the event portfolio.

Execution & Logistics

  • Developing detailed project plans and timelines in collaboration with the Project Management Office.
  • Owning the event budgets, monitoring actuals, and providing financial reporting to marketing.
  • Managing logistics for in-person conferences, partner mixers, and other external events, including venue sourcing and negotiation, catering, A/V production, travel/accommodation, signage, on-site staffing, etc.
  • Sourcing and managing vendor relationships, including negotiation and performance oversight.
  • Collaborating with Marketing to develop event branding, messaging, and promotional materials.
  • Working collaboratively with the Community Liaison to support any client-focused sessions at conferences and webinars.
  • Ensuring seamless integration of community sessions into broader event programs.
  • Optimizing registration flows and attendee communications for conversion and engagement.
  • Partnering with the Client Success team to coordinate client communications for off-site conference components.
  • Working with internal teams to design compelling agendas and speaker lineups.
  • Including partner and sponsor elements where applicable, ensuring alignment with brand standards.
  • Leading virtual event operations, including platform setup, registration flows, presenter coordination, and live execution.
  • Acting as on-site event lead, overseeing setup, run-of-show, live-day troubleshooting.
  • Define and report on key metrics, including attendance, leads, pipeline impact, and feedback scores.
  • Conduct post-event evaluations and produce an annual review with insights and recommendations.

QUALIFICATIONS

Education and Experience:

  • Degree or Diploma in Business, Marketing, or related field.
  • Minimum 5 -7 years of event-management experience (conferences, webinars, in-person meetings) with proven ability to manage multiple concurrent events (10+) within budget.
  • 1 - 3 years of experience working in a customer and/or client-facing role, preferably within a Business-to-Business (B2B) company.
  • Experience in SaaS companies and partner/customer-facing events strongly preferred.
  • Experience in senior living or industry knowledge is considered an asset.

Skills and Knowledge:

  • Excellent event-management and organizational skills with strong attention to detail.
  • Strong financial acumen: budget setting, cost management, ROI measurement.
  • Exceptional communication and interpersonal skills; able to engage internal and external stakeholders.
  • Comfortable negotiating contracts and managing vendor relationships.
  • Familiarity with event technologies (registration platforms, webinar platforms, virtual/hybrid event tools).
  • Flexibility to travel and work occasional evenings/weekends during events.
  • Ability to handle complex escalations and challenging issues; exceptional problem-solving and critical thinking skills.
  • Ability to work collaboratively with colleagues and team members to create a results-driven, team-oriented environment.
  • Ability to cope with conflicting demands and prioritize tasks.
