QCA Systems is seeking a detail-oriented and highly organized assistant to support our Automation Department. This role provides an excellent opportunity to gain hands-on experience in administrative operations within a dynamic engineering environment. The ideal candidate will demonstrate strong organizational and time management abilities, along with a proactive approach to learning and problem-solving.

Responsibilities

The Automation Department Assistant will perform a variation of the following duties, depending on operational needs:

· Collaborate closely with the Automation Manager and team leads to support documentation editing and formatting;

· Develop and maintain Standard Operating Procedure (SOP) documents for the team;

· Create and manage templates for Excel spreadsheets, Word documents, and PowerPoint presentations as needed;

· Attend scheduled meetings and record meeting minutes;

· Assist the manager in scheduling meetings for both the team and individual members;

· Track upcoming knowledge-sharing sessions and send presenter reminders one week in advance;

· Plan and coordinate seasonal social events with Automation Social Committee for the Automation Department;

· Conduct research and gather information as requested by managers or team leads;

· Organize and maintain digital files in accordance with the manager's directives;

· Research and apply for student co-op grants for the department;

· Connect with University contacts to organize university engagement such as Career Days, and Co-op Career Panels. 

Qualifications

· Currently enrolled in a bachelor's or master's degree program;

· Proficient knowledge in Microsoft Word and Excel is preferred but not required;

· Strong organizational and time management skills;

· Ability to keep track of multiple tasks at a time, and be able to work within short deadlines;

· Ability to learn quickly dependent on each new task.
