Project Coordinator – Events

Nous recherchons un(e) coordinateur(trice) de projets événementiels pour épauler notre équipe dynamique de chefs de projet dans la planification et la mise en œuvre de la logistique et de l'organisation d'événements sportifs exceptionnels. Vous jouerez un rôle clé dans le bon déroulement de chaque événement, en soutenant l'équipe et en veillant au respect des délais. Votre rigueur, vos compétences en communication et votre capacité à gérer plusieurs tâches simultanément seront essentielles à ce poste.
Lieu : Montréal, QC (Hybride : 2 jours et plus au bureau, sujet à changement)
Le bilinguisme (français et anglais) est considéré comme un atout.
Ce poste exige une présence de quatre (4) jours ouvrables et d'un (1) jour de week-end pour compléter une semaine de travail de 5 jours, sous réserve de modifications selon les besoins du projet. Par exemple, l'employé travaillera soit du mardi au samedi, soit du dimanche au jeudi.
Principales responsabilités
En tant que coordinateur de projet, vous assisterez notre équipe Événements en fournissant un soutien organisationnel, logistique et administratif pour divers programmes de voyages sportifs, événements et programmes d'accueil.
Vous travaillerez sur plusieurs projets et pour différents clients, notamment des ligues sportives, des fédérations nationales sportives ou des sponsors et partenaires d'événements, et vous les aiderez dans la documentation des événements, y compris les itinéraires, les calendriers et la coordination des fournisseurs.
Collaborer avec les fournisseurs et prestataires pour le suivi des détails de l'événement, notamment l'hébergement, le transport et la logistique. La maîtrise de Smartsheet est un atout.
Appui au suivi des échéanciers de projet, en veillant au respect des délais et à l'exécution des tâches dans les temps.
Aider à la gestion et à la mise à jour des budgets des événements, contribuer au suivi des dépenses et apporter un soutien au rapprochement budgétaire.
Coordonner les réunions internes, notamment en organisant les appels, en préparant les ordres du jour et les documents de réunion, en participant aux réunions d'équipe, en prenant des notes et en contribuant au suivi des points d'action.
Apporter un soutien à l'équipe sur place lors des événements, en veillant à ce que tout soit organisé et se déroule sans accroc.
Contribuer en permanence à identifier les domaines où les processus peuvent ê tre améliorés afin d'accroître l'efficacité et la productivité, en veillant à ce que tous les événements soient conformes aux procédures internes et aux normes de qualité.
Recherche approfondie pour faciliter l'approvisionnement, création de supports de présentation internes et externes pour les nouveaux projets et/ou éléments de programme. La maîtrise de Canva est un atout.
Comprendre, appliquer et promouvoir les valeurs de l'entreprise en toutes circonstances.
Le candidat retenu devra démontrer les capacités suivantes :
Diplôme d'études collégiales ou universitaires dans un domaine connexe de préférence.
Au moins 2 ans d'expérience pertinente dans la logistique des voyages sportifs, les voyages de motivation ou l'événementiel événementiel.
Capacité avérée en gestion de projets et d'événements sur site.
Créativité et expérience en matière de recherche et de développement de concepts.
Solides compétences organisationnelles et multitâches, avec la capacité de gérer plusieurs tâches et échéances.
Excellentes compétences en communication écrite et orale, avec une capacité à interagir aussi bien avec les équipes internes qu'avec les clients externes.
Maîtrise de la suite Microsoft Office (Excel, Word, PowerPoint, Teams, Outlook)
La connaissance des outils de gestion de projet comme Smartsheet est un atout.
Autonome et capable de travailler efficacement en équipe.
La volonté et la capacité de voyager (au niveau national et international) – en comprenant que les événements sur site exigent une flexibilité au niveau des horaires de travail
Adaptable et flexible, avec une attitude positive et proactive mê me face à des exigences changeantes
Forte volonté d'apprendre et de progresser dans la gestion d'événements et la coordination de projets
Passionnée de sport et de voyages

We're looking for a Project Coordinator – Events to support our dynamic team of Project Managers in planning and executing exceptional sports travel logistics and travel event operations. You will play a key role in ensuring that all event details are organized and executed smoothly, supporting the team and helping to keep projects on track. Your attention to detail, communication skills, and ability to handle multiple tasks at once will be crucial in this role.
Location: Montreal, QC (Hybrid: 2+ days in-office, subject to change)

This role requires four (4) weekdays and one (1) weekend day coverage to complete a 5-day working week, subject to change based on project requirements. Example, Employee would be working either Tuesday-Saturday or Sunday-Thursday pattern.
Key Responsibilities
As a Project Coordinator, you will assist our Events team by providing organizational, logistical, and administrative support for various sport travel programs, events and hospitality programs.
Working across multiple projects, and clients including sports leagues, NSO's, or event sponsors and supporters, you will support with event documentation, including itineraries, schedules, and vendor coordination.
Coordinate with vendors and suppliers to track event details, including accommodation,transport, and other logistics. Experience with Smartsheet an asset.
Support with tracking project timelines, ensuring deadlines are met and tasks are completed on time.
Assist with managing and updating event budgets, helping to track expenses and provide support for budget reconciliation.
Coordinate internal meetings, including setting up calls, preparing agendas and meeting materials, attending team meetings, taking notes and assisting with follow-up on action items.
Provide support to the on-site team during events, ensuring everything is organized and running smoothly.
Continuously help identify areas where processes can be improved to increase efficiency and productivity, assisting to ensure that all events comply with internal procedures quality standards.
Intensive research to assist sourcing, creating both internal and external presentation decks for new business and/or program elements. Experience with Canva an asset.
Understand, apply and promote the company's values at all times.
The successful candidate will demonstrate the following capabilities:
College diploma or degree in related field preferred.
At least 2 years of relevant experience in sport travel logistics, incentive travel or hospitality events.
Proven ability in project and onsite event management.
Creativity and experience researching and developing concepts.
Strong organizational and multitasking skills with the ability to manage multiple tasks and deadlines
Excellent written and verbal communication skills, with an ability to interact with both internal teams and external clients
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Teams, Outlook)
Familiarity with project management tools like Smartsheet is a plus
Self-starter and ability to work effectively within a team concept.
The desire and ability to travel (domestic and international) – understanding that events onsite require flexibility in work hours
Adaptable and flexible, with a positive, can-do attitude even when faced with changing demands
Strong desire to learn and grow in event management and project coordination
Passionate around sports and travel
Bilingual (French and English) considered an asset
