What to expect in the role:

This position combines essential front-office administration with hands-on human resources support, playing a key role in the smooth day-to-day operation of the office and HR functions. You will serve as the first point of contact for visitors and employees, helping create a welcoming, warm environment while managing core administrative and reception responsibilities. In parallel, you will support the People & Culture team with essential HR processes such as recruitment, onboarding, performance and employee record administration, contributing to a positive and consistent employee experience. The overall focus of this role is to ensure a well-run front office and reliable support and positive experience for both employees and guests. The ideal candidate is organized, professional, discreet, and enjoys working in a role that balances people-facing responsibilities with detail-oriented administrative work.

Main expectations:

Provide a welcoming and professional front-office experience by serving as the first point of contact for visitors, employees, and callers, ensuring reception and common areas are organized and presentable at all times.

Support smooth day-to-day office operations by managing calendars, meeting rooms, visitor logs, office supplies, vendors, and general administrative tasks such as filing, data entry, mail distribution, and document preparation.

Deliver reliable administrative support to Human Resources by preparing employment-related correspondence, maintaining accurate and confidential employee records, and responding to inquiries through the HR inbox.

Coordinate recruitment, onboarding, and performance management activities including interview scheduling, job postings, onboarding logistics, and administering performance review cycles.

Contribute to a positive employee experience and workplace culture by assisting with HR events, internal communications, training initiatives, and diversity and inclusion activities.

Hours of work

35-hour work week, Monday to Friday, 9:00 am to 5:00 pm.

What you bring to the role:

  • Education or studies in administration, and/or human resource management
  • One to three years relevant experience in a reception, administration and/or human resources assistant role
  • Human Resources Administration experience or relevant studies is an asset
  • Exceptional communication and writing skills, with the ability to produce clear, accurate, and professional documents
  • Strong organizational and coordination abilities, including managing confidential information, balancing multiple priorities, and meeting deadlines.
  • Demonstrated tact, sound judgment, and the ability to maintain strict confidentiality.
  • Ability to work effectively and respectfully with individuals from a wide range of backgrounds, perspectives, and experiences, fostering an inclusive, collaborative, and supportive workplace environment.
  • Proficiency in Microsoft Office including MS Teams, Excel and Visio
  • Experience with ADP or similar HRIS systems, or applicant tracking systems is an asset
