The Opportunity:

The Office Services Administrator provides various operational support and coordination in the office services of DIVERSEcity and other related office functions to ensure office operations work efficiently.

Key Responsibilities:

  • Distribution of staff FOBs, and office keys and maintains, an inventory data base list;
  • Administers ordering of business cards for the staff;
  • Monitors concerns on orders of office supplies, equipment, and furniture by programs/departments, and in-charge of setting up additional online users with the vendor;
  • Monitors orders of refreshments (coffee, tea, milk) and other related items on all campuses;
  • Maintains and updates inventory of furniture;
  • Processes business licenses renewals of all campuses;
  • Works with Facilities on monitoring offsite storage units and the transfer of all storage items;
  • Processes incoming and outgoing courier;
  • Works with the front desk in maintaining the postage machine;
  • Assists with securing quotes from vendors;
    • Provides coverage for front-desk in the absence of casual-on-call front-desk staff;
  • Carrying out administrative duties such as answering phone calls, responding to emails, and preparing documents including office correspondence;
  • Works with Office Services Manager to ensure the office operations work efficiently;
  • Leads and coordinates projects related to Office Services (e.g., conceptualize maintain, and update of Front Desk Manual, refurbishing mail slots, and any other upcoming projects in relation to Office Services).

Qualified candidates will possess:

  • Completion of one year certification program in Administration from a recognized post secondary institute;
  • Minimum of two (2) years recent related experience in a medium-sized office (100+);
  • Verbal and written English proficiency at a professional level;
  • Intermediate to advanced computer programs, MS Office, internet, email applications, and basic typing abilities;
  • Self-starter, resourceful and detail oriented;
  • Experience with office procedures;
  • Ability to handle sensitive issues in a professional and discreet manner, and elevates risk issues to management as they arise;
  • Pleasant demeanor and ability to work with various types of personalities within an office setting.
