Detailed Overview

The Coordinator, Research Operational Approvals is responsible for the coordination of the research operational approvals process within the Department of Evaluation and Research Services (DERS). Works collaboratively with internal and external research teams, research ethics board, research ethics office, privacy department,    research sites, and research service providers within Fraser Health (FH).  Responsible for ensuring all approvals are in place and accesses research feasibility based on research infrastructure and resource availability.


Responsibilities


  1. Coordinates and tracks operational requirements and approvals for all research studies at FH.
  2. Develops processes, guides, policies, and best practice documents for operational and service requests for research to ensure feasibility, quality and integrity of research studies.
  3. Liaises with departmental leads and coordinators in pharmacy, lab, imagining, health records, and system optimization to ensure research related processes and requirements are streamlined, current and accurate.
  4. Coordinates the operational approval process for all FH approved research studies by connecting with internal and external research personnel with appropriate FH departments and services to secure institutional research approvals. Provides navigation support for research teams requiring operational approval. Monitors status of outstanding approvals and follows-up as required.
  5. Triages and processes of incoming submissions and other correspondence, inputs information into the database, updates approvals activities, creates office files and report, performs filing and archiving. Supports database and system improvements for increased efficiencies. Responds to departmental inquiries and triages as required.
  6. Coordinates between the REB, Contracts Office, Privacy Office, and other department service providers for research to ensure an efficient and supported research approvals process.
  7. Navigates between the FH ROMEO system and the Provincial Research Ethics Platform to track all studies at FH and support various DERS reporting requirements.
  8. Ensures the accurate maintenance of operational approval study files for the lifecycle of each research study including comprehensive, accurate and confidential record keeping.
  9. Receives, reviews and assesses information and documents for accuracy and completeness, creates files for new research operational approval submissions, compiles and completes statistical records using various software applications.  Provides logistical and administrative support for research related approvals activities as required.
  10. Develops and implements new work methods and procedures. Identifies problems, develops alternate solutions and implements corrective action, as required.
  11. Updates the Research Operational Approvals webpages. Schedules, advertises and manages  the registration process for all Research Operational Approvals events and training sessions.
  12. Coordinates the release of Letters of Authorization on behalf of the Director, DERS, once all ethical and privacy agreements, and operational approvals, are in place.
  13. Perform other duties as assigned to support research activities within DERS.

Qualifications

Education and Experience

Baccalaureate degree in a health sciences or related discipline plus three (3) years of related research experience including experience working with multi-disciplinary research teams, or an equivalent combination of education, training and experience.
