Project Manager Assistant

This position is to assist the Project Managers in daily operations, and ensure the best customer service is provided assisting with properly scheduling and allocating resources to meet or exceed their expectations.
Major Duties
- Assist in scoping and estimating projects in accordance with accepted construction and insurer practices.
- Assist in preparing emergency work orders as required for field staff.
- Assist in producing estimates and updates in accordance with customer standards.
- Data entry of notes, files, and pictures into Xactanalysis
- Update control points in Xactanalysis
- Issue employee and sub trade work orders
- Create PO's for sub trades
- Complete special orders with vendors
- Correspond with subcontractors, adjusters and internal staff on a daily basis
- Send and receive Access & Authorization forms
- Confirm deductibles and obtain payment prior to starting repairs
- Send and receive Certificates of Completion
- Assume administration of projects when PM's are un-available or on holidays
- Review daily mail folder and correlate invoices to specific jobs.
- Communicate with PM's to ensure major issues are resolved in a team environment.
- Assist PMs as required, in order to share technical expertise or resources.
- Assist PMs with ordering of materials for multiple job sites
- Actively participate in PM meetings.
- Assist the GM/ Owner with staff training and development.
- Handle and resolve customer issues expeditiously on his/her files or assist with others.
- Support the administration staff in delivering superior customer service.
- Available for inclusion in the after hour rotation.
- Advise the GM/Owner of any variances to our normal processes and procedures.
- Identify and communicate opportunities for improved service and efficiency
- Other duties as assigned
