theDock is a coworking and community space in downtown Victoria for people and organizations working toward social, environmental, and community impact. Operated by Scale Collaborative, theDock supports nonprofits, social enterprises, consultants, and changemakers by providing a welcoming, well-run workspace that supports connection and collaboration.

We are seeking a Community Manager, Culture & Community Building to support theDock's financial sustainability and day-to-day functioning by ensuring offices, meeting rooms, event spaces, and services are actively marketed, booked, and well supported. This role is well suited to someone who is highly detail-oriented, experienced in delivering high-quality hospitality, and comfortable marketing and selling services to ensure the space is busy, reliable, and well used. What You Will Do

  • Lead marketing and communications activities, including member communications, website updates, social media, and defined campaigns.
  • Manage inquiries, tours, follow-up, and sales for memberships, offices, meeting rooms, event space, and related services.
  • Provide a consistently high-quality hospitality experience for members, guests, and prospective clients, ensuring the space is welcoming, professional, and reliable.
  • Manage the membership lifecycle, including onboarding, agreements, renewals, and administration of add-on services.
  • Support morning operations and space readiness so the workspace is prepared, functional, and ready for daily use.
  • Maintain accurate records related to inquiries, memberships, bookings, and front-end billing information.

Working Hours: 7:30 am to 3:30 pm, Monday to Friday, with occasional additional hours

Compensation: Annual salary of $55,000 to $65,000, based on qualifications and experience

OUTCOMES

The Community Manager, Culture & Community Building is accountable for supporting theDock's financial sustainability through strong workspace utilization and the effective conversion of interest into active memberships and services.

This role contributes to a welcoming, engaged, and supported member community, where members experience theDock as reliable, well run, and aligned with its purpose. Members feel informed and supported in their use of the space, and issues that arise are addressed in a timely and appropriate manner.

Working as a peer with the Community Manager, Facilities & Systems, this position provides morning operational oversight and helps ensure the space is prepared, functional, and accessible during its shift. When working independently, the role is responsible for the overall functioning of the space, member support, and issue resolution, with effective handoff and coordination as required.

RESPONSIBILITIES

Lead Management, Sales, and Revenue

  • Support maximum utilization of theDock's offices, meeting rooms, event spaces, and productized services through effective lead management and sales activity.
  • Manage the sales process for memberships, offices, meeting and event space, and related services, including cultivating leads, conducting tours, and completing follow-up.
  • Respond promptly to inbound customer inquiries and booking requests.
  • Use a structured approach to follow-up to support timely decisions by prospective clients.
  • Maintain clear and accurate records related to inquiries, availability, and conversions using established systems.

Membership and Retention

  • Prepare and issue membership agreements, contracts, and other related documents.
  • Administer meeting room packages, add-on services, mail, storage, lockers, printing packages, and other defined services.
  • Monitor membership terms and initiate renewal discussions.
  • Complete onboarding tasks for new members, including documentation, access setup, and communication to finance staff.

Marketing and Communications

  • Work with Scale's Program Manager and/or Marketing Manager to define and execute marketing strategies and tactics that support theDock's business objectives.
  • Lead internal and external communications including member engagement, newsletters, social media, blog posts, and website updates.
  • Execute marketing campaigns (Google Ads, SEO, Google Business Profile, etc.) to increase awareness of theDock's services and impact within the broader Victoria community.

Partnerships and External Relations

  • Build and maintain relationships with aligned organizations to support workspace utilization, sales referral pathways, and lead generation.
  • Represent theDock at appropriate community events, meetings, or engagements that support awareness and inquiries.
  • Maintain and manage theDock's Community Business Partners program.

Operational Oversight, Space Readiness, and Workspace Culture

  • With support from the Community Manager, Facilities & Systems and the Facilities & Systems Coordinator, ensure coworking areas, meeting rooms, kitchens, and common spaces are prepared for morning activity.
  • Complete room setups and equipment checks required for early meetings, tours, events, and other bookings.
  • Address routine maintenance or cleanliness issues; refer technical matters to the Facilities & Systems Coordinator.
  • Direct Dockhands in routine space-readiness tasks, while the Facilities & Systems Coordinator maintains overall coordination of the Dockhand program.
  • Notify the Managing Director of issues that are urgent, safety-related, or outside routine operational procedures.

Coordination and Supervision

  • Coordinate with the Community Manager, Facilities & Systems to provide supervision and task direction to the Facilities & Systems Coordinator, including weekly prioritization related to bookings, maintenance, and workspace readiness.
  • Coordinate daily handoff processes with the Community Manager, Facilities & Systems to ensure continuity of service.

Administrative Coordination (Front-End Billing Accuracy)

  • Ensure accurate billing information at sign-up, renewal, and service changes, including correct pricing, dates, and service assignments.
  • Maintain accurate member and booking records in OfficeRnD related to new sales and membership changes.
  • Coordinate with bookkeeping staff and the Community Manager, Facilities & Systems to resolve billing discrepancies originating from front-end inputs.
