Position Summary
The Membership Services Coordinator is responsible for the administration, accuracy, and safeguarding of Cheam First Nation's membership records, as well as the coordination of programs, services, and engagement activities that support the needs of community members.
Reporting to the Director of Operations, the Coordinator oversees the maintenance of the membership registry, supports members with Status Card applications, facilitates Elders meetings, and organizes community engagement initiatives and events. The role also contributes to the development of key governance processes.
The coordinator serves as a central point of contact for membership-related services and committees, ensuring effective communication, respectful engagement, and timely delivery of support. This position requires a high level of accuracy, confidentiality, cultural awareness, and community-focused service.
Duties and Responsibilities
- Maintain, update, and safeguard the membership registry, ensuring all records are accurate, current, and compliant with privacy, data protection, and all applicable policies and procedures.
- Provide guidance and administrative support for Status Card applications, including documentation review, appointment scheduling, and maintaining records of issued cards.
- Plan, coordinate, and support membership-related engagement activities, including general meetings, information sessions, and community events; collaborate with the Communications Department to ensure effective promotion and participation.
- Lead and facilitate Elders meetings by preparing agendas, supporting respectful dialogue, documenting minutes, and coordinating follow-up on action items.
- Assist members in accessing available benefits and services; regularly review membership benefits policies and recommend improvements based on community needs.
- Collaborate with internal departments to ensure benefits and service programs are aligned with broader community priorities.
- Serve as the primary administrative support for committees as required, including scheduling, agenda preparation, minute-taking, and action tracking.
- Design, distribute, and analyze community surveys on topics such as housing, mental health, education, and training needs; prepare summary reports with actionable recommendations for leadership.
- Prepare regular updates and detailed reports for leadership on membership statistics, engagement outcomes, survey findings, and emerging trends or issues.
- Perform additional responsibilities as required to support organizational operations and community needs.
Required Qualifications
- Successful completion of the Indian Registry Administration course.
- Minimum of two years of administrative experience.
- Strong organizational, analytical, and time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with databases or records management systems.
- Knowledge of First Nations governance, election processes, and Status Card requirements.
- Experience with community engagement, survey development, or data collection and analysis.
- Strong interpersonal and communication skills, with the ability to work respectfully with community members, Elders, and stakeholders.
- Experience in event planning or community-based programming is considered an asset.
- Familiarity with Comprehensive Community Planning and Custom Election Code processes is an asset.
Conditions of Work
- This is a full-time position.
- Standard work hours are Monday to Friday, 8:30 am –4:30 pm; however, some evening or weekend work may be required to support meetings and community events.
- Occasional travel may be required to attend training, meetings, or community engagements.
