We are currently seeking an experienced and dynamic Office Administrator/Receptionist to join our team. Role Overview:

As the first point of contact for our customers and partners, you will play a key role in maintaining smooth office operations. You will manage front desk activities, support administrative needs across departments, and ensure that our dealership delivers a professional and organized experience both in person and by phone calls. Key Responsibilities:

  • Serve as the primary point of contact for all visitors, clients, and incoming calls, ensuring a professional and welcoming experience
  • Greet customers in person and by calls, respond to inquiries, direct calls, and provide accurate information in a courteous manner
  • Manage daily front-office operations including scheduling appointments, managing documents and maintaining orderly flow of paperwork in a dealership, automotive, or heavy-duty truck environment
  • Support administrative tasks such as data entry, filing, document preparation, and managing email correspondence proficiently
  • Monitor and follow up on tasks to ensure timely completion and resolution
  • Handle confidential and sensitive information with discretion and professionalism
  • Assist with basic reporting and tracking as needed, ensuring accuracy and attention to detail
  • Maintain and organize office supplies, records, and files to support efficient office functioning
  • Collaborate with sales, service, and finance teams to assist with dealership processes and ensure seamless customer service

**Previous Experience is Mandatory**

Qualifications:

  • Graduate diploma or equivalent required; further office admin or business training is an asset
  • Previous experience in Office Administration/ Receptionist role is required, ideally in a dealership, automotive, or heavy-duty truck environment
  • Good time management and multitasking abilities to handle phone calls, emails, appointments, and paperwork efficiently
  • Highly organized and detail-oriented, able to manage multiple tasks and priorities in a fast-paced office
  • Excellent verbal and written communication skills with a friendly and professional attitude when interacting with customers & team members
  • Strong customer service skills, with the ability to greet visitors, answer questions, and support customers throughout their visit
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and comfortable in learning new platforms as required
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Team-oriented mindset, willing to support sales, service, and finance departments proficiently
