We are looking for an Operations Coordinator. This position requires being in the office 5 days a week.
Reporting to the Manager, Operations the Operations Coordinator (OC) plays an important role in the day-to-day operations of the office. They are the point of contact and handle a wide variety of client support tasks. The OC is responsible for handling requests and follow-ups, scheduling, courier, mail and scanning of documents, producing basic reports. They support the advisor and team and also act as the primary liaison for on-site support and with technology support.
What you will do
- Act as the primary point of contact for dealing with clients at the front desk, on the phone and through email
- Provide support in the office for appointments, processing, mailings, faxes, scanning and emails, as well as general oversight (multi-function devices, supplies, troubleshooting, fire safety plan, compliance, communications with the building manager, etc.)
- Provide general business support (generating summaries, prepping forms, inquiries, filing, transcribing, ordering supplies)
- Provide support with onboarding and offboarding as required
- Manage the continuing education process (certificates, mailing, file, etc.)
- Produce basic reports for management and the team as required
- Provide general support for activities taking place in the office
What you will bring
- Post-secondary degree
- Understand the operations of a sales organization
- Proficiency in the use of Microsoft Office (Outlook, Word, Excel and PowerPoint) Ability to learn new technologies
- Demonstrate an aptitude for establishing strong collaborative relationships with multiple business partners at all levels
- Possess excellent verbal and written communication skills
- Respond quickly to customer and business partner requests with tact, courtesy and patience
- Demonstrate a proactive approach, showing initiative towards process improvement and individual development
- Possess a strong sense of organization as well as the ability to manage multiple priorities and meet deadlines
- Have the ability to work well within a diverse team and a strong aptitude for independent work
- Establish and maintain positive working relationships with others, both internally and externally the external
- Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment. This is a personal security status that is required as a condition of employment before an employee can gain access to Protected B information, assets or work sites as outlined by the Government of Canada website. The cost of submitting these checks will be covered by Canada Life
The base salary for this position is between $38,700 - $ 52,400 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
