Operations Coordinator
Operations Coordinator | Part-Time, In-Person | Downtown Toronto
$30/hour | 2-3 weekdays/week | 9 AM - 5 PM
Free parking + wellness benefits + access to transformational programs
About Us
I'm Dr. Lise Janelle, and I've spent years helping high achievers break through the subconscious blocks that hold them back from the success they're capable of. I created the Heart Freedom Method—a transformational approach that's helped thousands of clients reduce anxiety, make better decisions, and perform at their best. This year, I'm co-authoring a book with Jack Canfield to share this work with even more people who need it.
The coaching practice is growing, and I need to focus on what I do best—coaching, creating content, and building meaningful programs. That's where you come in.
I'm looking for someone who genuinely enjoys making things run smoothly, who gets satisfaction from knowing the details are handled, and who wants to be part of something that helps people transform their lives.
If you're the kind of person who loves creating order out of chaos and feels energized when a team runs like clockwork, we should talk.
What You'll Own (This Is an Ownership Role, Not "Admin Help")
You'll be the person who makes sure everything behind the scenes works beautifully. That means:
Clients feel cared for — They get warm, timely communication and feel supported through every step
Virtual assistants stay on track — You know what needs to get done, you delegate clearly, and you follow up to make sure quality stays high
Systems actually work — Checklists get followed, logistics get handled, nothing slips through the cracks
Problems get caught early — You're the person who notices when something's off and fixes it before it becomes an issue
Here's What Your Days Look Like:
- Managing day-to-day operations using systems we've already built (and improving them when you see a better way)
- Overseeing virtual assistants—delegating tasks, tracking progress, making sure the work gets done well
- Communicating with clients—scheduling, confirmations, follow-ups, answering questions
- Coordinating program logistics and special projects so everything runs on time
- Keeping records organized (Google Drive/Docs) and maintaining consistency across operations
- Handling the administrative details that keep a coaching practice running smoothly
This is NOT: Sitting at a desk answering phones all day, doing endless data entry, or waiting to be told every single step
This IS: Being trusted to own the operational side so I can focus on coaching and bringing this work into the world
You're Probably a Great Fit If:
You have 2+ years of operations, office management, or client success experience and can point to specific outcomes you owned
You're exceptionally reliable—the kind of person people count on to show up on time, every time
You're a clear communicator in writing and on the phone, and you genuinely enjoy connecting with people
You've coordinated other people (VAs, contractors, team members) and know how to delegate in a way that gets things done well
You value wellness and personal growth—this isn't just a job, it's an environment where that matters
You can commit to the same 2-3 weekdays every week (we typically use Tue/Thu/Fri, but we can figure out what works best)
You live near Downtown Toronto and can reliably be here by 9 AM on your scheduled days
Bonus: You get genuine satisfaction from seeing a team work smoothly and knowing you're the reason why.
A Few Non-Negotiables (So We're Clear From the Start)
This role is in-person in Downtown Toronto—no remote work
Work hours are 9:00 AM – 5:00 PM on your scheduled days
Your schedule needs to be consistent week-to-week—once we agree on your 2-3 days, they stay the same
Why consistency matters: We're a small team supporting real clients who count on us, the whole team is important so we can trust that things are going to get done.
If you're looking for a role where the schedule changes week-to-week or you can come in whenever it works for you, this won't be the right fit—and that's okay
What You'll Get (Beyond the Paycheck)
Pay: $30/hour
Schedule: 2-3 weekdays/week hours/week)
Parking: Free on-site parking (no need to worry about finding a spot downtown)
Wellness & Growth Benefits (because we walk the talk here):
- Chiropractic care (on-site)
- Naturopathic care
- Full access to Heart Freedom Method coaching programs
(These programs retail for $997–$24,000/year—you get them included if you want to use them)
Growth Potential: As the practice grows, this role can grow with it. If you're someone who wants to build something meaningful over time, there's room for that here.
This Won't Be a Fit If:
You're looking for remote work
You need full-time income right now
You prefer being told exactly what to do at every step vs. being trusted to own outcomes
You need a schedule that changes week-to-week
(And that's totally okay—better to know now than later)
Ready to Apply? Here's What I Need From You
Email your resume + answers to these questions to:
(Applications without answers won't be reviewed—I really do read these to understand who you are)

- What did you delegate?
- How did you make sure the quality stayed high and things actually got done?
- What does wellness or personal growth mean to you in your daily life? (2-3 sentences—I'm curious how you think about this)
- Why do you think you'd be a great fit for this role? (What about this opportunity speaks to you?)
