OACP Certificate Administrator

TNT Justice Consultants is seeking a full-time OACP Certificate Administrator, to join our team.
The OACP Certificate Administrator plays a pivotal role in ensuring the smooth operation of our OACP Certificate program and its operations. This position requires a highly organized, tech-savvy individual with excellent communication skills and a strong attention to detail. The representative will be responsible for managing administrative tasks associated with the facilitation of the OACP Certificate, including answering phone calls, organization database information, communicating with police services on file reports and completing minor administrative tasks.
Key Responsibilities:
Client Communication & Support
- Respond promptly and professionally to phone and email inquiries from applicants, police services, and partner organizations.
- Provide clear information about the OACP Certificate process, eligibility, and documentation requirements.
- Offer guidance and support to applicants experiencing technical or administrative issues.
Administrative & Data Management
- Monitor incoming applications and documentation for completeness and accuracy.
- Maintain accurate and up-to-date records within the organization's database and document management systems.
- Input, update, and verify candidate and agency information, ensuring confidentiality and compliance with data-protection standards.
- Prepare, organize, and file reports related to applicant progress and OACP certification status.
- Support the processing and issuance of OACP Certificates in alignment with established policies and procedures.
- Perform additional minor administrative duties
Stakeholder Liaison
- Communicate with police services and other stakeholders to provide updates on applicant files and resolve documentation inquiries.
- Collaborate with internal teams to ensure that operational challenges are addressed efficiently.
Quality Assurance & Process Improvement
- Identify process gaps or recurring issues and propose practical solutions for improving efficiency and customer satisfaction.
- Support the implementation of new tools, technologies, or administrative practices to enhance program delivery.
Qualifications
- Post-secondary diploma or degree required
- 1–3 years of experience in customer service, administrative support, or operational roles.
- Proficiency in Microsoft Office programs and data entry systems.
- Strong attention to detail and ability to maintain accuracy in repetitive tasks.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Experience with compliance-related documentation and process tracking is a plus.
- Problem-solving mindset and ability to work independently or as part of a team.
- Comfortable handling sensitive information with confidentiality and professionalism.
- Bilingual-French proficiency (not required, but preference will be given to applicants who possess written and spoken French abilities)
