Overview
Located in our Vancouver office and reporting to the Operations Manager, this role includes daily real estate administrative support in a fast-paced environment. As an Administrative Coordinator, you will work closely with the brokerage, operations, marketing, and research teams in their day-to-day activities, to ensure a smooth and efficient work environment.
Responsibilities
The key responsibilities of an Administrative Coordinator include, but are not limited to, the following:
- Support and assist operations, client services, marketing, and research teams with responsibilities and requests
- Provide front desk / reception responsibilities
- Attend to the phones in a professional and efficient manner
- Greet clients and guests in a courteous manner, offer and prepare coffee/water to clients upon arrival, prepare board rooms for meetings, etc.
- Complete stationary orders, accept deliveries and place into inventory in a tidy fashion
- Assist in the day-to-day upkeep of the office, maintain cleanliness of all client reception areas, employee kitchen, etc.
- Assist in daily correspondence requests such as online updates, letters, labels, arrange couriers, etc.
- Be prompt and consistent with attendance as required by the job
- Work closely with peers / teams on various initiatives and special projects
- Provide administrative support for internal and external correspondence including file management, scanning, photocopying, organizing and distributing marketing materials
- Learn and develop knowledge for the company's business and audience
- Assist with other administrative needs and special projects as needed
Qualifications
Basic Qualifications (Add required or preferred)
To perform this job successfully, an individual must be able to perform each essential task at an above average level. The requirements listed below are representative of the knowledge, skill and/or ability required.
- Minimum of 1-2 years' experience in administration and a diploma/degree relevant to real estate, business or marketing
- Advanced knowledge and efficient use of business suite computer programs including Word, Excel, PowerPoint, Outlook
- Adobe Creative Suite (InDesign, Photoshop, Illustrator, and Acrobat) experience an asset
- Excellent and effective verbal and written communication skills
- Ability to multi-task, utilize effective time management skills, and be able to recognize and respond to time sensitive issues and tasks
- Ability to work efficiently under pressure with multiple timelines and with limited direction/ supervision
- Ability to maintain discretion regarding personnel and industry-related matters
- Well organized and demonstrate initiative
