Position Overview

The Payroll and Benefits Administrator is responsible for ensuring the smooth, accurate, and efficient end-to-end processing of payroll for both hourly and salaried staff across all entities using ADP Workforce Now.

This role ensures compliance with all regulatory and legislative payroll requirements while maintaining a high level of confidentiality, professionalism and data integrity.

In addition to payroll administration, the Administrator manages employee group health benefits programs, maintains employee records, and provides exceptional support to staff regarding payroll and benefits inquiries.

Key Responsibilities

Payroll Administration

  • Process semi monthly payroll for all employees, including calculating wages, deductions, and additional payments.
  • Ensure compliance with local, state/provincial, and federal payroll regulations.
  • Maintain accurate payroll records and resolve payroll discrepancies promptly.
  • Prepare T4s, T2200s, ROEs, and year-end filings.
  • Ensure timely payouts of government wage top-ups, PD funding, and release time grants.
  • Respond to payroll inquiries and resolve discrepancies.

Benefits Administration

  • Administer group benefits programs, including enrollments, changes, and terminations.
  • Coordinate with the benefits provider and ensure accurate payroll deductions.
  • Serve as the primary contact for employee benefits inquiries and issues. Communicate benefit information and updates to employees.
  • Coordinate benefit enrollment, changes, and terminations.
  • Stay current on employment and benefits regulations.

Compliance and Reporting

  • Prepare and submit payroll and benefits-related reports, including tax filings, year-end summaries, and other required documents.
  • Stay updated on legislation changes affecting payroll and benefits administration.
  • Ensure accurate documentation and compliance with internal policies and external regulations.

Employee Support

  • Provide guidance to employees on payroll and benefits-related matters
  • Stay updated on legislation changes affecting payroll and benefits administration.
  • Collaborate with HR and finance teams to address employee needs.

Qualifications

  • Bachelor's degree in Business Administration, Accounting, or a related field (or equivalent experience).
  • Minimum of 5 years of experience in payroll and benefits administration.
  • Proficiency with payroll systems (experience with ADP Workforce Now is an asset) and HRIS software.
  • Strong knowledge of payroll laws, benefits regulations, and compliance requirements.
  • Advanced computer skills and familiarity with accounting principles.

Soft Skills

  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal abilities.
  • Ability to maintain confidentiality and handle sensitive information.
