Plays a key role in ensuring the smooth, efficient, and organized operation of the office. This position is responsible for a wide range of administrative, operational, and coordination duties that support daily business activities, project teams, and company leadership.
Responsibilities
Office Organization & Operations
- Oversee daily office operations, ensuring the space is clean, organized, and fully functional.
- Maintain office supply inventory, equipment, and vendor relationships.
- Implement and maintain effective physical and digital filing systems.
- Provide front-desk support, greeting visitors and managing incoming calls.
Administrative Support
- Prepare letters, correspondence, reports, meeting documents, and presentations.
- Coordinate schedules, meetings, travel arrangements, and staff calendars.
Payroll & HR Support
- Assist with timesheet and payroll processing, ensuring accurate and timely submission.
- Gather payroll, union, and onboarding information for new hires.
- Support recruitment activities, onboarding processes, and employee offboarding.
Finance & Project Support
- Assist with invoice processing, expense tracking, and budget monitoring.
- Manage packing slips, delivery slips, and related documentation.
Communications, Events & Marketing
- Assist with social media and marketing campaigns as required.
- Support preparation and execution of company events and materials.
Compliance & Safety
- Ensure the office adheres to company policies, health and safety protocols, and regulatory requirements.
Other Duties
- Complete additional administrative or operational tasks and other duties as provided.
Requirements:
- 2+ years of office administration or related experience.
- Strong organizational skills with the ability to manage and improve office systems.
- Proficiency with Microsoft Office Suite and/or Google Workspace; experience with project management or CRM software is an asset.
- Valid driver's license (asset) for occasional deliveries or inter-office errands.
- Construction industry experience is considered a strong asset.
What's in for you
- Standard working hours for this position are 8:00 AM – 4:00 PM, Monday to Friday onsite
- Salary: $50,000 annually
- Direct Hire Perm role
