We are currently seeking one (1) new team member in Kingston to fill the role of Administrative Assistant.
Girls inc. Applicants will work together with the Operations Manager to provide ongoing administrative support with tasks that include coordinating activities and meetings, documenting meetings, purchasing, program and accounting data entry, bookkeeping, writing emails, letters, and reports, running errands and other related activities.
The successful applicant will be
an organized self-starter
with excellent writing skills and an eye for detail who is available to work in-office and in the community for all scheduled shifts.
Job Duties
· Support daily office operations to ensure an organized, efficient workplace
· Maintain office supplies, equipment, and inventory
· Coordinate shared calendars, meeting bookings, and room scheduling
· Prepare meeting agendas, take minutes, and distribute follow-up materials
· Answer phones and respond to inquiries professionally
· Coordinate logistics for internal and external meetings, trainings, and events
· Arrange travel and accommodations when required
· Track deadlines and send reminders to ensure timely completion of tasks
· Enter and update data in spreadsheets, databases, and internal systems
· Process invoices, expense reports, and purchase requests
· Track budgets, expenses, and basic financial records as assigned
· Support payroll preparation and timesheet tracking
· Prepare reports and summaries for management
· Coordinate catering, equipment, and venue needs
· Support audit and reporting processes
Qualifications and Experience:
· Successful completion of a
Canadian Police Information Centre (CPIC)
check, including a
Vulnerable Sector Check,
is required
· A completed Ontario Secondary School Diploma
· Comfortable with Microsoft Office 365 applications
· Experience with QuickBooks
· The ability to work independently, pay attention to detail, and manage multiple tasks with excellent time management skills is essential
· Reliable transportation for daily travel within Kingston and, at times, Belleville
