QUALITY IMPROVEMENT SPECIALIST
Full-time position- 37.5 hours per week
EveryMind Mental Health Services is looking for an enthusiastic and dynamic Quality Improvement Specialist with an interest in the non-profit health sector to join our team.
EveryMind is an accredited children's mental health centre that provides a continuum of high-quality mental health services for children, youth and their families who are experiencing social, emotional and/or behavioral challenges.
Job Summary
The Quality Improvement (QI) Specialist performs a key role in supporting the System Planning and Accountability Department to strengthen QI practices and accreditation processes that enhance the quality of clinical services and support evidence-based decision-making that advance EveryMind's mission, vision, values, and philosophy. Reporting to the Manager, Performance Measurement and Improvement, and working closely with, the Chief Officer, System Planning and Accountability, the QI Specialist is responsible for: (a) identifying, measuring, monitoring and reporting of service quality and client safety, as well as client and stakeholder feedback, (b) coordinating the agency's accreditation processes through Accreditation Canada, and (c) co-developing, implementing, and monitoring QI projects aligned with evidence-based practices. This position is part of the department's Performance Measurement and Improvement Team, which contributes to service capacity building both within the organization and across the child and youth mental health services sector.
Hiring Salary range - $68,805 - $74,420 (Step 1 to Step 3 in a 5 step pay band)
Please note that hiring salaries are commensurate with experience and generally start at the beginning of the range.

Job Responsibilities:
The incumbent will:
- Create and support a culture of continuous quality improvement (CQI) by building EveryMind's knowledge of, and capacity for, CQI and client safety practices and principles.
- Collaborate with clinical and operational leaders and staff to develop, design, describe, deploy, and support the delivery of QI, client safety, and accreditation initiatives/projects.
- Coordinate working groups and activities to advance EveryMind's accreditation journey under Accreditation Canada's Qmentum Global program.
- Measure the quality of existing services in satisfying the needs of clients and community stakeholders by seeking and integrating feedback on key areas for improvement.
- Develop, design and implement data collection processes, standards and tools to support QI and accreditation processes.
- Develop dashboards and track QI project milestones and performance measures/indicators.
- Explore and recommend QI processes for integration into day-to-day clinical work by consulting with staff, management, clients and community stakeholders.
- Engage with key stakeholders (e.g., children and youth, caregivers, EveryMind staff, community partners, etc.) to ensure that quality improvement and client safety approaches integrate a participatory, collaborative, utilization-focused lens.
- Utilize CQI tools (e.g., process mapping) to document the development of new programs, improve service delivery processes of existing services, and ensure that client information systems reflect clinical processes and client journeys.
- Develop, support and maintain a client incident management reporting system.
- Support and coordinate the development of continuous quality improvement plans and frameworks that are aligned with EveryMind's strategic priorities.
- Lead/participate in clinical process reviews, incident reviews, and root cause analyses to develop and monitor required action plans.
- Gather and manage data from a variety of internal (e.g., client, caregiver, stakeholder survey data, clinical information systems, file audits, safety incidents, etc) and external (e.g., Statistics Canada) sources, and analyze using appropriate quantitative and/or qualitative techniques.
- Summarize and present data using a variety of formats (e.g., reports, presentations, infographics, etc.) that ensures information is understood by all stakeholders.
- Provide management with comprehensive and timely data reports, including recommendations, to assist with monitoring and decision-making for improving clinical services.
- Communicate outcomes, action plans, and project statuses to relevant committees, leadership, frontline staff, and other key stakeholders.
Provide support, consultation and training to staff and management on data collection, interpretation, quality/integrity, and audit processes.
Maintain up-to-date knowledge on the needs and issues of the child and youth mental health sector, including (a) contemporary QI approaches, (b) the local mental health needs of children and youth, (c) service trends and barriers, (d) funder requirements/accountabilities, and (e) the local/provincial political and economic climate.
Provide day-to-day oversight of volunteers, students, and junior staff working in the department.
- Liaise with external stakeholders, professional associations and other institutions regarding quality improvement and client safety.
- Ensure all tasks completed are carried out in compliance with relevant legislation and professional standards, and with EveryMind's policies, procedures, and guidelines.
Skills and Qualifications:
- Master's Degree in a related field or an equivalent combination of education and experience.
- A minimum of three years' experience leading quality improvement, client safety and/or performance measurement initiatives within an accreditation framework.
- Proven experience collaborating with clinical and operational teams to design, implement, and monitor quality improvement projects.
- Applied knowledge of quality improvement and project management methods required. Relevant certifications (e.g. LEAN, Six Sigma, PMP, CAPM, Quality Professional by Excellence Canada) are considered an asset.
- Extensive experience collecting, managing, analyzing, and monitoring quantitative and qualitative data from multiple sources to improve service design, delivery and evaluation.
- Excellent statistical analysis skills, with a high proficiency in Excel. Experience with other statistical packages is considered an asset.
- High proficiency across the Microsoft 365 suite of tools (Excel, Word, Outlook, PowerPoint, Teams, SharePoint), search engines, and web-based platforms (including, but not limited to, QI, project management and digital design tools).
- Excellent oral and written communication skills, with the ability to effectively present, summarize and visualize data findings and information with the audience in mind.
- Strong project management, organizational and administrative skills, with a strong attention to detail and proven ability to work on multiple concurrent projects.
- Excellent facilitation, consultation, and interpersonal skills, with the ability to build trusted relationships with a range of internal and external stakeholders.
- Demonstrated ability to take initiative and work independently.
- Valid Ontario driver's license, use of a vehicle and the ability to work in a variety of settings. Some evening work may be required.
- Coordinating accreditation, or experience with Accreditation Canada (Qmentum Global), is considered a strong asset.
- Child and youth mental health, health care and/or community-based service experience is considered an asset.
- A Satisfactory Vulnerable Sector Police Check and Pre-Employment Medical screening (including TB test, MMR, TD, Polio, Covid-19 vaccination), is required.
