Front Desk & Customer Service Coordinator

Location: Peterborough, ON (on-site)

Compensation: $20/hr (CAD)

Schedule: Mon–Fri, 8:30 a.m. – 5:00 p.m.

About the Role

Be the friendly first point of contact for our customers. You'll handle incoming calls about order status (pickups & deliveries), redirect sales inquiries to our estimating/sales team, organize outgoing deliveries and incoming receivings, coordinate customer pickups, attend the front desk, and do light outreach/check-ins with existing customers. No pricing creation and no detailed technical product knowledge required. Training provided on our systems.

What You'll Do

  • Phones & Front Desk: Answer and route calls; greet visitors; log clear notes (minimal email).
  • Order Status: Confirm whether jobs are ready for pickup or scheduled for delivery and relay updates to customers.
  • Redirect Sales Inquiries: Capture basics (name, company, phone, brief need) and hand off to Estimating/Sales—no quoting.
  • Shipping & Receiving: Book couriers, prepare labels/waybills, stage outgoing deliveries, receive incoming parcels, and keep a tidy pickup shelf.
  • Pickup Coordination: Schedule and organize customer pickups; confirm times and location instructions.
  • Customer Outreach (light): Make friendly, periodic check-ins to existing customers to confirm satisfaction and scout upcoming needs; log brief notes.

What You Bring

  • Strong customer service skills and an outgoing, positive phone presence.
  • Organized, thorough, and accountable—you follow through and close the loop.
  • Comfortable with Google Workspace/Microsoft Office basics (especially Sheets for simple tracking).
  • Clear spoken and written communication; minimal email, mostly phone & quick ticket notes.
  • 1–3 years reception/customer service preferred (strong trainees welcome).
  • Able to lift/move small parcels (~25 lb) occasionally.

How We Measure Success

  • Calls answered politely; status updates and hand-offs captured with clear, brief notes.
  • Pickups and deliveries scheduled before courier cut-off and documented.
  • Front desk coverage is consistent, with visitors greeted quickly.
  • Light outreach completed weekly with simple notes (e.g., "check-in + next steps").

Compensation & Benefits

  • $20/hr (CAD), paid bi-weekly.

  • Weekdays only (Mon–Fri, 8:30–5:00).
  • 3-month check-in for feedback and growth.
